BEP Flow Solutions
Perth
BEP Flow Solutions is a Perth-based engineering business that supplies engineered parts, fabrication and technical personnel to mining, water and processing industry clients.
The Role
As Mobilisation Coordinator you make sure contractors, equipment and paperwork reach site on time and compliant. You will also be the department's administrative backbone: pulling together the weekly and monthly reports, raising purchase requisitions in SAP and keeping project records in order. This is a 6-month contract position with BEP Flow Solutions, working on a client site, with a strong chance of extension.
You will be responsible for:
- Coordinate mobilisation and demobilisation of contractors and project personnel for capital works, shutdowns and construction packages
- Manage onboarding, including medicals, drug and alcohol testing, inductions and site access requests
- Track tickets, licences, VOCs and inductions so no one arrives at site non-compliant
- Maintain mobilisation trackers, headcount forecasts and crew schedules, and manage changes at short notice
- Book and manage flights, charter seats, camp accommodation and ground transport for project personnel
- Arrange mobilisation of tools, equipment and materials to site with vendors and freight providers
- Act as first point of contact for travel disruptions and last-minute changes
- Prepare and issue the department's weekly and monthly project reports,
gathering inputs from project engineers and supervisors
- Raise purchase requisitions (PRs) in SAP, follow up approvals and receipt goods and services
- Maintain project registers, document control and filing in line with client systems
About You
Reporting directly to the Capital Projects Superintendent, this role would suit someone organised and calm under pressure who likes running a lot of moving parts at once and is comfortable working with site supervisors, contractors and procurement.
You will also have
- Prior experience in a similar role such as mobilisation coordinator, project administrator, site administrator or contractor coordinator on a mining or major capital project
- Hands-on experience with FIFO travel, camp bookings and site onboarding
- Experience raising PRs and processing goods receipts in SAP or a comparable ERP
- Experience preparing weekly and monthly project reports
- Working knowledge of contractor management and onboarding systems
- Strong Microsoft Office skills, particularly Excel, Word and Outlook
- Excellent organisation, attention to detail and follow-through
- Transparent, confident communication with crews, client staff and vendors
- Willingness to work a 4:3 FIFO roster (Flights ex-Perth) for the duration of the contract
- Current Australian driver's licence and full Australian working rights
