Part-Time Administrative Assistant
We are looking for a Part-time Administrative Assistant who thrives on working harmoniously with team members and stakeholders, fostering a positive and collaborative working environment, and demonstrating respect for children’s agency.
About Us
Bubup is a community, non-profit, Exceeding Rating children's centre. We offer children and staff opportunities for community engagement through regular outings, including Bubup Bush, Bubup Beach, parks and local community visits such as the library, Coles supermarket and op shops.

About the Role
Reporting to the Executive Officer and Director of Education (DoEd). You will be the welcoming face of our centre and a key support to our leadership team and educators. You will be part of a team that provides high-quality customer service in line with our service philosophy and the National Quality Framework.
Your responsibilities will include
- Reception and front-of-house: greeting visitors, answering phones and emails, responding to family enquiries and keeping the entry and displays welcoming and up to date
- Children’s program support: daily roll call and attendance, daily photos for families, maintaining children’s records, action plans and medical registers on Xplor, first aid and emergency kit checks, and centre tours for new families
- Staff, compliance and training administration: Working With Children Check register,
onboarding and offboarding, and tracking mandatory training in Employment Hero
- Playgroup coordination: family communication, registrations, trials and liaison with the City of Port Phillip
- Events and projects: coordinating centre events and projects assigned by the Executive Officer and DoEd
- Centre operations and community support: maintenance coordination, ordering supplies, managing the pantry, Bubup shop and weekly food support for families, and filing and records
- Governance and systems support: monthly Board papers, policy updates, website updates, first-line IT support and support for the Business Manager and Centre Leadership Team

About You
- Relevant qualification (desirable) in Early Childhood Education and Care, Business Administration, or a related field, or equivalent experience
- Must have years of experience in an administrative role, ideally in an early learning centre in Australia
- Sound understanding of early childhood development and education
- Strong IT skills, particularly MS Teams, Microsoft Office (Word, Excel, Outlook) and a willingness to learn platforms such as Xplor and Employment Hero
- Excellent written and verbal communication, customer service and relationship-building skills
- Ability to multitask, work independently and meet deadlines
- Current Working with Children Check
- Current approved first aid qualification, annual CPR, anaphylaxis management and emergency asthma management training
- Child Protection Mandatory Reporting training (annual) and National Child Safety training
- Full work rights in Australia without restrictions
