About the role
As the Assistant Project Officer you will play a key role in coordinating the day-to-day workflow of the Office of the Deputy Secretary and Chief Financial Officer.
A core responsibility of the role is managing the Office’s group inbox and coordinating requests from receipt through to final approval. You will assess and allocate incoming requests, monitor deadlines, follow up outstanding responses and ensure correspondence, briefs and other matters are progressed through the appropriate review and approval processes.
You will work closely with teams across the Division to keep work moving, maintain visibility over priorities and ensure high-quality responses are delivered within required timeframes.

What you will be doing In this role, you will:
- Manage and monitor the Office’s group inbox, identifying new requests and determining the action required.
- Coordinate and track correspondence, briefs, reports, approvals and other requests from receipt through to completion.
- Allocate requests to the appropriate teams and clearly communicate requirements and due dates.
- Proactively follow up outstanding actions and work with teams to ensure responses are progressed within required timeframes.
- Coordinate responses through review, clearance and approval, ensuring the appropriate processes have been followed before matters are finalised.
- Maintain accurate records and tracking information so the Office has clear visibility of current, upcoming and overdue matters.
- Review incoming and outgoing material for completeness, accuracy and presentation, and identify issues requiring clarification or escalation.
- Provide broader executive, administrative and coordination support to the Office as required.
About you
You are organised, proactive, with a strong attention to detail. You enjoy working in a busy environment where priorities and deadlines can change quickly. You can confidently manage a high volume of incoming requests, work with senior stakeholders, determine what needs to happen next, follow up with others and escalate issues when required.
To be successful in this role, you will have:
- Strong organisational skills and the ability to manage multiple requests and deadlines.
- Excellent attention to detail and a commitment to producing accurate, high-quality work.
- Robust written and verbal communication skills and the confidence to follow up with stakeholders across all levels.
- The ability to exercise judgement when assessing requests, priorities and appropriate next steps.
- A proactive approach to monitoring work and resolving issues before they affect deadlines.
- Experience coordinating correspondence, briefs, approvals, executive workflows or similar activities in a busy environment.
- Strong Microsoft Office skills and experience working with information and records management systems.
