Job Summary The Associate Manager –

- Facility &
- Administration will be responsible for overseeing day-to-day administrative operations, facility management, workplace maintenance, vendor coordination, asset management, statutory compliance related to facilities, and ensuring a safe, efficient, and skilled work environment across corporate offices and branch locations. The role requires strong coordination, cost control, stakeholder management, and operational excellence skills to support business continuity within a stock broking organization.

Key Responsibilities

Facility Management

- Manage overall office infrastructure, workspace planning, seating arrangements, and facility upkeep.
- Ensure smooth functioning of office utilities including electrical systems, HVAC, lighting, DG sets, UPS, water supply, and other critical infrastructure.
- Conduct regular facility inspections and preventive maintenance activities.
- Coordinate office renovations, fit-outs, relocations, and expansion projects.
- Monitor housekeeping standards and ensure cleanliness across all facilities.

Administration &
- Operations

- Oversee day-to-day administrative activities across corporate and branch offices.
- Manage travel desk operations, guest house facilities, employee transportation, and accommodation arrangements whenever required.
- Ensure uninterrupted availability of office supplies, stationery, and administrative resources.
- Maintain records related to facility operations, service contracts, and administrative expenses.
- Support business units with administrative requirements and workplace solutions.

Vendor Management
- Identify, evaluate, and onboard facility-related vendors and service providers.
- Manage contracts,



service-level agreements (SLAs), and vendor performance reviews.
- Negotiate commercial terms to achieve cost optimization and operational efficiency.
- Process vendor invoices and ensure timely payments in coordination with finance teams.

Asset Management
- Maintain inventory records for office assets, furniture, equipment, and utilities.
- Track asset allocation, movement, maintenance schedules, and disposals.
- Conduct periodic audits of administrative and facility assets.
- Ensure proper utilization and lifecycle management of company assets.

Safety, Security &
- Compliance

- Ensure compliance with company policies, safety standards, and local regulatory requirements.
- Coordinate fire safety audits, emergency preparedness programs, and evacuation drills.
- Manage office security systems including access control, CCTV surveillance, and visitor management processes.
- Liaise with statutory authorities and building management for facility-related compliance matters.

Budgeting &
- Cost Control

- Assist in preparation and monitoring of facility and administration budgets.
- Track operational expenses and identify opportunities for cost reduction.
- Ensure optimum utilization of resources while maintaining service quality standards.
- Generate MIS reports related to facility costs, vendor performance, and operational metrics.

Employee Experience &
- Workplace Management

- Support employee engagement initiatives through efficient workplace services.
- Address employee concerns related to infrastructure,



facility services, and administration.
- Ensure a safe, comfortable, and productive work environment.
- Coordinate internal events, meetings, conferences, and administrative support activities.

Required Qualifications

- Bachelor's Degree in Administration, Management, Commerce, Engineering, or related discipline.
- MBA / PG Diploma in Facility Management or Administration preferred.
- Certifications in Facility Management or Workplace Administration will be an added advantage.

Experience Requirements

- 4–7 years of relevant experience in Facility Management and Administration.
- Experience in financial services, stock broking, banking, NBFC, or corporate environments preferred.
- Exposure to managing multi-location offices and branch administration is desirable.
