Contracts Administrator

About Our Client
We are partnering with a premier engineering, manufacturing, and major project delivery organisation. Known for delivering large-scale, long-term government and commercial assets across Australia, they pride themselves on operational excellence, innovation, and long-term career development.
Due to ongoing program growth, they are seeking an experienced and meticulous Contracts Administrator to join their high-performing Commercial Team.
The Chance
Reporting directly to the Contracts Manager, you will provide end-to-end commercial and contractual administration support across high-value, complex programs.
This is a key, operationally focused role (approx. 90% operational / 10% tactical) responsible for day-to-day contract deliverables, drafting formal client correspondence, managing variations (CCPs), and assessing subcontractor claims.
Key Responsibilities
- Contract Administration: Monitor and administer contract compliance, deliverables schedules, and milestones across major project phases.
- Variations & Change Management: Assist in the preparation, evaluation, and logging of Contract Change Proposals (CCPs) and formal contract amendments.
- Subcontractor & Claims Management: Review and assess subcontractor claims against contract terms, identifying risks or discrepancies and escalating them to management.
- Formal Correspondence: Draft, review, and issue high-standard contractual letters, formal responses, and reports for key client and internal stakeholders.
- Registers & Data Integrity: Maintain and update all contract registers, deliverables tracking sheets, SharePoint systems,
and risk/issues logs.
- Commercial Governance & Meetings: Prepare agendas, attend client/commercial meetings, and produce accurate, professional minutes and action tracking.
- Compliance: Ensure strict adherence to commercial frameworks, internal policies, and client procurement guidelines.
Skills & Experience Required Essential:
- Experience: Minimum 5+ years’ experience in contract administration or a commercial support role within heavy engineering, construction, major capital projects, manufacturing, resources, or government-contracted environments.
- Contractual Knowledge: Solid practical experience with contract variations/CCPs, payment claims review, and managing formal deliverables schedules.
- Written Communication: Exceptional formal writing skills with proven ability to draft professional business letters, responses, and commercial documentation with minimal oversight.
- Software: Advanced proficiency across the MS Office suite (particularly Word, Excel, PowerPoint, and SharePoint).
- Work Style: High attention to detail, proactive problem-solving attitude, and strong organisation skills with the ability to manage competing deadlines.
Desirable:
- Tertiary qualifications in Business, Commerce, Law, Quantity Surveying, or a related discipline.
- Working knowledge of complex standard-form or government contracting suites (e.g., ASDEFCON, AS4000, FIDIC, etc.).
- Basic exposure to cost tracking or cost-building models.
