As the business continues to grow, EcoCycle is investing in its leadership team and seeking an experienced Executive Assistant to support six members of the Executive Leadership Team, helping drive coordination, communication and operational effectiveness across the Group The Opportunity
Reporting to the CEO, this is a highly visible and influential role supporting 6 members of the Executive Leadership Team, including the CEO, Managing Director, CFO, COO, Group CRCO and CMO.
This is far more than a traditional diary management position. You will become a trusted partner to the executive team, helping coordinate priorities, manage competing demands, ensure key commitments are delivered and support the overall effectiveness of the leadership function.
You'll act as a central point of coordination across the business, regularly engaging with senior leaders, customers, suppliers, advisors,
regulators and other key stakeholders.
Key Responsibilities
- Manage complex calendars and competing priorities across six executives
- Coordinate domestic and international travel, accommodation and itineraries
- Prepare agendas, presentations, executive briefing materials and meeting packs
- Attend meetings, record minutes and maintain action registers
- Coordinate Executive Leadership Team, governance and board-related activities
- Manage executive communications and stakeholder interactions
- Handle confidential and commercially sensitive information with discretion
- Track executive commitments, deadlines and business priorities
- Coordinate leadership off-sites, events and executive meetings
- Drive continuous improvement across executive office systems and processes
About You To be successful in this role, you will bring demonstrated experience supporting multiple senior executives simultaneously within a fast-paced environment.
We're seeking someone who has supported a C-suite team, Executive Leadership Team or senior leadership group and can confidently balance competing priorities across several stakeholders.
You will possess:
- Proven Executive Assistant or senior executive support experience
- Experience supporting multiple executives simultaneously
- Exceptional diary, travel and meeting coordination skills
- Strong governance, board support, agenda and minute-taking experience
- Outstanding organisational and time management capability
- The confidence to prioritise, challenge and manage executive demands where appropriate
- Excellent written and verbal communication skills
- High levels of discretion, professionalism and attention to detail
- Advanced Microsoft Office skills including Outlook, Word, Excel, PowerPoint and Teams
- The ability to work autonomously while building strong relationships across the business
- Full and Unrestricted AU Working Rights

Location & Working Environment
This position is based in Campbellfield, Victoria and is an on-site Monday-Friday role.
Due to the collaborative nature of the position and the close partnership required with the Executive Leadership Team, candidates must be comfortable working from the Campbellfield office on a full-time basis. Occasional travel to their Ringwood site, as needed.
