Facilities Contracts Lead
Take ownership of the contracts that keep the City's community buildings, depots and public facilities running safely and smoothly.
About the role
Reporting to the Coordinator Facilities Operations, you'll manage the City's facilities service, maintenance and supply contracts from start to finish. That covers scoping and tendering through to performance reviews, variations and renewals. In this specialist role, you'll be the City's go-to person for facilities contracts, giving advice to managers and internal teams and making sure contractors deliver secure, high-quality services and value for money.
You'll work closely with contractors, suppliers and internal teams to spot risks, resolve issues quickly and keep improving how our facilities services are delivered to the community.
A snapshot of your new role:
- Administer facilities service, maintenance and supply contracts across their full lifecycle, including variations, extensions and renewals
- Prepare scopes of work, specifications and tender documentation, and lead evaluations and contract awards
- Track contractor performance against KPIs and service levels through regular meetings, inspections and reviews
- Ensure contractors hold current licences, insurances and safety documentation, and meet their contractual obligations
- Verify invoices, track expenditure and contribute to budget forecasting and reporting
- Oversee programmed building maintenance delivered by contractors
What you will bring to the role:
- Certificate IV or Diploma in Procurement, Contract Management, Business Administration, Project Management or a related discipline,
or equivalent experience
- Proven experience administering and managing contracts, including interpreting contract documents and specifications
- Strong knowledge of procurement processes and contract management frameworks
- Excellent stakeholder management, negotiation and communication skills
- Strong analytical, problem-solving and organisational skills
- Proficiency in Microsoft Office and contract management systems
- Current National Police Clearance
Highly regarded: experience in facilities, property or asset maintenance environments, knowledge of local government procurement regulations, and experience with TechnologyOne or another ERP system.
