The Gem Coordinator is responsible for the efficient management, coordination and control of

CW’s gemstone and jewellery inventory. The role works closely with the Sales, Production,

Accounts and Gemological teams to ensure gemstones and jewellery are accurately received,

recorded, allocated, tracked and maintained throughout their lifecycle with the business.

Key Responsibilities

● Manage the day-to-day receiving, processing, identification, allocation, movement and tracking of gemstones, diamonds and jewellery.

● Maintain accurate inventory across CW’s systems, including stock records, locations,

transfers, costings and product information.

● Conduct regular stocktakes and inventory reconciliations, identifying and resolving discrepancies.

● Coordinate gemstone allocation and tracking for bespoke, collection, repair and remodelling jobs.

● Assist in gemstone sourcing and purchasing, including liaising with local suppliers and coordinating orders, shipments, invoices and returns.

● Build and maintain solid relationships with gemstone suppliers and act as a key internal resource for gemstone-related knowledge and enquiries.

● Support the Sales and Production teams with gemstone identification, sourcing,

availability,



specifications and inventory requirements.

● Manage and maintain accurate gemstone and product information, including imagery,

scans, videos, certificates and Gem Vault records.

● Oversee stock transfers and consignment inventory between CW locations and external partners.

● Provide day-to-day support and troubleshooting for PIRO/Fusion and related inventory and production systems.

● Maintain and improve inventory, production and workflow processes to increase accuracy and efficiency across the business.

● Assist with system and process improvement projects, including product data, barcoding,

inventory management and system integration.

● Ensure all high-value gemstones and jewellery are handled, stored and transferred in accordance with CW’s safety and security procedures.
