About the Role
If you enjoy the operational side of administration—keeping spreadsheets accurate, managing document versioning, and ensuring digital files are well-structured and easy to find—this is a great fit for you!
In short, you’ll be in charge of our training library. Your main job is to keep all our staff training guides, online learning modules, and how-to documents organised, up to date, and audit-ready so our site teams always have the right information.
While much of your day will be spent in registers and spreadsheets, you won't be working in a silo. You’ll partner closely with subject matter experts across People & Culture, Safety, Operations, Swim School, and IT to capture their knowledge and turn it into clear, easy-to-read training materials.
What You’ll Be Doing
- Library & Taxonomy Management: Maintain and govern our learning categories, naming conventions, and metadata so all content is easy to find for site teams.
- Master Register & Data Integrity:
Own the master register of all learning assets using advanced spreadsheets (lookups, pivot tables, validation) to track owners, version numbers, review dates, and compliance requirements.
- Version Control & Reviews: Keep our training up to date by coordinating review cycles with content owners, archiving old versions, and keeping audit-ready records.
- Content Creation: Partner with internal experts and Southern Education to draft and update e-learning modules, guides, presentations, and quick-reference job aids.
- LMS Administration: Upload and publish content, manage enrolments, track mandatory training completion metrics for site teams, and help resolve user queries.
- Continuous Improvement: Spot outdated materials or training gaps, and find smart ways to streamline our learning processes.
What You’ll Bring to the Team
- Experience: Background in administration, document control, records management, or learning/HR support.
- Spreadsheet Savvy: Advanced Excel or Google Sheets skills (lookups, filtering, pivot tables, conditional formatting).
- Organisational Skills: Experience managing large document libraries (e.g., SharePoint) with strict version control and review cycles.
- Tech Aptitude: Familiarity with Learning Management Systems (LMS) and e-learning formats (SCORM). Experience with content creation tools like Canva, Articulate,
or PowerPoint is a great bonus!
- Mindset: A methodical, systematic approach with exceptional attention to detail. You genuinely enjoy administration and take pride in an accurate, well-kept system.
- Communication: Clear written skills with a knack for turning complex information into simple, plain-English guides. Friendly and diplomatic when following up busy stakeholders for reviews.
- Qualifications: Relevant qualification in Business, Records Management, HR, or Education (or equivalent experience), a valid Driver’s Licence, Working with Children Check, and First Aid/CPR (or willingness to obtain).
