Accounts & Data Quality Officer - Support at Home
Sensible Care Pty Ltd
- Greensborough, Melbourne VIC
- Full-time
Be the person who makes sure every Support at Home statement is right, every claim is lodged on time and every dollar reconciles, in a growing aged care provider where accuracy, reliability and initiative are noticed and valued.
About Sensible Care
Sensible Care is a registered aged care provider supporting older Australians to live well at home across Victoria, Queensland and Current South Wales. Our care partners, nurses, personal care workers, physiotherapists, occupational therapists and podiatrists deliver services under the Australian Government's Support at Home program, the Commonwealth Home Support Programme and private arrangements.
We have been a registered provider since the Home Care Packages days and built the business to be compliant from the ground up. We are growing, and we invest in good systems and automation so that capable people spend their time on judgement, not re-keying.
About the role
Support at Home is paid in arrears, per service, per participant, through Services Australia. Every month, participant statements go out, service lines are claimed, participant contributions are invoiced and collected, and supplier invoices are checked against individual budgets before they are paid. This role works within a dedicated finance and accounting team and helps to make sure all of that is right, on time and reconciled.
You will report to the Finance Manager and work closely with our Care Partners and administration team and, when they have a question about their statement, with our participants and their families.
This is a full-time position based at our Greensborough head office in Melbourne's north-east.
What you will be doing
- Help producing and checking monthly Support at Home participant statements: services, prices, contributions, quarterly budgets, carryover and unspent funds.
- Help preparing and validating claims with Services Australia.
- Reconciling Services Australia payments to claims, the care management system and the general ledger, and chasing down any variance.
- Setting up participant contribution rates, invoicing contributions, allocating receipts and following up overdue balances with care.
- Checking supplier and subcontractor invoices against the participant's care plan, service code, budget and approval before they are processed for payment.
- Running the month-end reconciliations and preparing schedules for the Finance Manager, the external auditor and government financial reporting.
- Keeping the records that let us substantiate every claim and every charge to the Department, the Aged Care Quality and Safety Commission or an auditor.
- Helping us improve and automate the repetitive parts of the work.
Who you are
The technical side of this role can be taught. These qualities cannot, and they are what we will hire for.
- Attention to detail. You notice the fifty-cent variance, the service code that does not match the care plan and the statement line that does not look right, and you do not let it through.
- Reliability. Statements, claims and month-end run to fixed dates. You meet them without being chased, and if something is going to be late you say so early.
- A self-starter. You read the rules, work out the process, write it down and get on with it. You ask good questions, but you do not wait to be told what to do next.
- Clear, patient communication. You can explain a statement to an older participant or their family without jargon, write a courteous but firm email to a supplier, and give the Finance Manager a one-line answer with the detail ready behind it.
- Ownership. When a claim is rejected or a balance does not reconcile, it is yours until it is fixed, and you fix the cause, not just the symptom.
- Integrity and discretion. You handle other people's financial information every day and treat it accordingly. When you are unsure, you escal…
- Calm under volume.
You work through high transaction volumes methodically, prioritise against the deadline that matters most, and stay accurate when it is busy.
What you will bring
- A Certificate IV or Diploma in Accounting or Bookkeeping, or at least three years' equivalent accounts experience.
- At least two years in billing, accounts receivable and reconciliations with high transaction volumes, ideally in aged care, disability, community services or health.
- A working understanding of Support at Home or Home Care Packages: quarterly budgets, participant contributions, monthly statements and Services Australia claiming is highly desirable.
- Intermediate-to-advanced Excel, and experience with a client or care management system and a cloud accounting system.
- Experience lodging claims through the Services Australia Aged Care Provider Portal, preparing the Quarterly Financial Report, or automating finance tasks will set you apart.
What we offer
- Salary range of $80,000 to $85,000 plus superannuation, reviewed annually against the market.
- A full-time role in an established provider in a sector that is growing.
- You work directly with the Finance Manager and the Chief Executive Officer, and your work is read by the people who make decisions.
- Good systems and a genuine mandate to automate the repetitive work out of your day.
- Structured training in the Support at Home claiming and contribution rules, and support for further study in accounting or bookkeeping.
The fine print
- You must have unrestricted rights to work in Australia.
- The successful applicant will need a National Police Check (issued within the last three years) or a current NDIS Worker Screening Check clearance, as required for aged care workers under the Aged Care Act 2024, and must not be subject to a banning order from the Aged Care Quality and Safety Commission. A statutory declaration is required if you have lived overseas for 12 months or more since turning 16.
- All Sensible Care staff work under the Code of Conduct for Aged Care.
- A Victorian driver licence is useful for occasional travel between our offices, but not essential.
