We are seeking a highly organised, experienced and proactive Office Manager (ANZSCO 512111) to oversee our daily office operations, manage administrative personnel and systems, and ensure the effective coordination of office resources and business support functions.

About the Role

Reporting to senior management, the Office Manager will be responsible for planning, organising, directing and controlling the administrative functions and resources of the business.

The successful candidate will play a key role in improving office procedures, coordinating personnel activities, supervising administrative staff, maintaining business records and supporting the smooth operation of our engineering and manufacturing setting.

Key Responsibilities

Office Management and Administration

Plan, organise, coordinate and control the daily administrative operations of the office.

Develop, implement, review and maintain effective office procedures, administrative systems and operational policies.

Contribute to the planning and review of office services, establishing operational priorities and office service standards.

Allocate and manage office resources, including personnel, workspace, equipment and supplies.

Coordinate office meetings, appointments, correspondence, internal communications and business events.

Ensure the effective management of office documentation, filing systems, databases and business records.

Staff Management and Human Resources

Supervise, allocate and monitor the daily work activities of administrative and office support personnel.

Coordinate recruitment activities, including job advertisements, candidate screening,



interview scheduling and onboarding.

Assist with staff training, professional development, performance evaluations and performance improvement processes.

Maintain employee records, attendance registers, leave applications and personnel documentation.

Coordinate staff rostering, leave planning and administrative workforce requirements.

Assist management with staff promotions, performance management and other personnel matters.

Payroll, Records and Financial Administration

Coordinate and oversee payroll administration, timesheets, attendance records and related documentation.

Maintain accurate office records, administrative accounts, invoices and financial documentation.

Liaise with the accounts team, payroll providers and external professionals to ensure timely processing of administrative and financial matters.

Monitor office expenditure, purchasing requirements and administrative budgets.

Support management with administrative reporting, recordkeeping and business performance information.

Operational Coordination and Compliance

Liaise with management, engineers, production personnel, suppliers, customers and external service providers to coordinate office business and resolve operational issues.

Ensure office equipment, technology, facilities and supplies are maintained and available for business operations.

Monitor administrative workflows and identify opportunities to improve productivity, communication and efficiency.

Ensure office activities comply with relevant workplace legislation, company policies and administrative procedures.

Support compliance with Work Health and Safety (WHS) requirements and promote secure office practices.

Coordinate administrative support for manufacturing operations, purchasing, logistics and other business functions where required.

Skills, Qualifications and Experience

Essential Requirements





Relevant qualification in Business Administration, Management, Human Resources or a related discipline, or equivalent relevant experience.

Demonstrated experience in office management, administration management or a similar supervisory role.

Strong organisational, leadership and staff management skills.

Experience implementing and maintaining administrative systems, policies and office procedures.

Working knowledge of payroll administration, employee records, recruitment and leave management.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office applications, including Word, Excel and Outlook.

Ability to manage competing priorities, solve problems and work independently.

Sound understanding of workplace compliance, confidentiality and WHS responsibilities.

Highly Desirable

Previous experience in an engineering, manufacturing, industrial or technical business environment.

Experience coordinating administrative teams and supporting production or operational departments.

Familiarity with accounting, payroll, ERP or business management software.

Knowledge of Australian employment practices and workplace administration requirements.

Willing to travel and need to manage the entire group and its 5 entities all over Australia.

Experience in process improvement, resource planning and administrative reporting.
