Practice Manager – Orthopaedic Practice
Wahroonga | Fulltime Role | $42–$45/hr + Super | Hybrid Flexibility
If you’re someone who would love the opportunity to join a new specialist practice, help establish the systems and processes from the outset and evolve your own role as the practice grows, this could be a wonderful next move.
This is a great opportunity for an experienced Practice Manager to join a new orthopaedic practice and play an important role in establishing how it operates.
This will be a hands-on Practice Manager role from the outset. In the early stages of the practice, you’ll work closely with the specialists across both Practice Management and medical secretarial responsibilities — coordinating clinics and day-to-day administration while also establishing the systems, processes and workflows that will support the practice as it grows.
You’ll be predominantly based at SAN Wahroonga, with some travel to clinics at Westmead Private Hospital and Norwest Private Hospital. The role also offers genuine flexibility, with the opportunity to work from home up to three half days each week.
What makes this opportunity a little different is the chance to help shape the Practice Manager role alongside the practice itself.
As the practice grows and develops, the plan is to bring a Medical Secretary on board, allowing you to step back from some of the day-to-day secretarial responsibilities and focus more of your time on the broader Practice Management responsibilities — including operations, systems and processes, workflow improvement and the ongoing development of the practice.
While this is a Practice Manager position, we’d also love to hear from highly experienced Senior Medical Secretaries or Practice Coordinators who are ready to take on broader Practice Management responsibility and feel excited by the prospect to help establish a new practice.
A few important details
Remuneration $42–$45 per hour + super, depending on experience
Fulltime role: 38 hours per week
Primary location: Predominantly SAN Wahroonga
Clinic travel: Some travel to Westmead Private Hospital and Norwest Private Hospital
Hybrid flexibility: Up to three half days working from home each week

What will your day look like?
You’ll have a varied role and really have your finger on the pulse of the practice — knowing what’s happening across the clinics, what needs attention and what needs to happen next to keep everything moving smoothly.
Your responsibilities will include
- Coordinating specialist consulting clinics
- Managing appointments and practitioner diaries across the three locations
- Communicating with patients and responding to enquiries
- Coordinating procedures, hospital admissions and theatre-related administration
- Managing medical correspondence and patient documentation
- Billing and general medical administration
- Liaising with hospitals, referrers and other healthcare providers
- Keeping the specialists organised and ensuring important follow-up happens when it should
- Using Gentu across appointments, patient information, correspondence and day-to-day practice administration
- Helping establish templates, systems, processes and workflows
- Identifying opportunities to make administration more efficient and the patient journey smoother
Who would thrive in this role?
We’d love to hear from an experienced Practice Manager who enjoys being hands-on, taking ownership and contributing to how a practice operates and develops. We’d also welcome applications from highly experienced Senior Medical Secretaries or Practice Coordinators who are ready to step into a Practice Manager role and bring the confidence, initiative and broader thinking that comes with that responsibility.
You may already be working as a Practice Manager, or you may have built substantial experience within specialist medical administration and feel ready to take that next step. Either way, you’ll enjoy being close to the day-to-day running of the practice while also thinking more broadly about systems, processes, workflows and how the practice develops.
You’ll ideally bring
- Strong specialist medical practice experience, gained through Practice Management, senior medical administration or medical secretarial roles
- Excellent organisation and meticulous attention to detail
- Confidence coordinating busy specialist clinics and diaries
- Strong patient communication and customer service skills
- Experience with medical billing and practice administration
- The ability to work independently and take ownership
- Initiative and strong follow-through
- A genuine interest in systems, processes and improving the way things work
- Confidence learning and implementing new systems
- A warm, professional and collaborative approach
- The ability to adapt as the practice develops
Experience with Genie Solutions Gentu would be highly regarded, although it isn’t essential for the right person.
