Position Title: Student Services Coordinator
Department/School/Faculty: Boston University Study Abroad Sydney Program
Appointment Type: Full Time
Location: Chippendale, NSW
Primary Functions:
ADMINISTRATIVE DUTIES / OFFICE SUPPORT/ VISA PROCESSING The Student Services Coordinator (SSC) is responsible for a broad range of administrative and student services activities. The SSC works with the Program Director and the Assistant Director (Internships & Student Affairs) on a variety of tasks that assist and support BU Sydney students and daily program operations. The SSC provides friendly front line office support by greeting and assisting students and visitors during office hours.
They are responsible for monitoring the BU Sydney e-mail address, responding promptly to requests for information, and referring inquiries to the appropriate member of staff as needed. Their duties include preparing student files, creating orientation materials, maintaining accurate student records and databases, and overseeing the student’s visa application process. They will be responsible for ensuring that all visas are granted in time for departure, relaying Department of Home Affairs visa confirmations to program participants, and resolving any visa issues that arise.
EVENTS The SSC will also be responsible for developing an ongoing program of social/cultural events designed to enhance each student’s participation in the BU Sydney Program. This will involve liaising with staff members, students, external event partners, and tour providers. These events include harbour cruises, scavenger hunts, Halloween parties, Thanksgiving dinners, and farewell functions.
The SSC will also be part of the group that plans and delivers the on-site orientation during the students’ first week.
COMMUNICATIONS
Throughout the semester, the SSC will be responsible for researching and preparing a weekly events newsletter for the students and posting on social media in order to promote Sydney as a destination for students. They will also work with the Assistant Director (Internships & Student Affairs) on various other student services and communications projects such as student guides, promotional materials, and photo contests.
WELLBEING
Should student health or welfare issues arise, The SSC will liaise with The Program Director and refer students to the appropriate resources. If required, the SSC will assist students with accessing medical and mental health appointments through iSOS and with lodging health insurance claims.
Reports to: Program Director & Assistant Director Internships and Student Affairs.
Key Relationships: Works with all other BUSA Sydney staff involved in the delivery of the Student Services Program.

Skills/techniques:
- Strong organisational and administrative skills
- Excellent communication, writing, and editing skills
- Excellent attention to detail
- Demonstrated ability to handle a variety of tasks with a high degree of accuracy
- Demonstrated ability to handle confidential information with tact and discretion
- Ability to take initiative and follow through
- Willingness to complete evening and/or weekend events work when required
- A working and up to date knowledge of Sydney social and cultural opportunities, and their appropriateness for our students.
Experience:
- Experience working in a similar role within another skilled setting
Training/qualifications (or equivalent experience):
- A Bachelor’s degree or equivalent in a discipline of relevance to the program
Other:
- A genuine interest in, and respect for, the students who undertake the program
- Must possess legal entitlement to live and work in Australia
Desirable (additional factors which are useful to do the job)
Skills/techniques:
- Familiarity with &/or interest in U.S. culture and university life
- Familiarity with applications and programs such as Canva, Asana, and Mailchimp
- Considerable knowledge of Sydney
- Ability to take a resilient, emotionally intelligent, and diplomatic approach to complex situations
- Familiarity with & interest in social media
Experience:
- Student services experience delivered in a higher education environment
- Experience planning, organising, and executing events
Training/qualifications (or equivalent experience):
- Training in Mental Health First Aid or similar
