The role
We are hiring an experienced Administration Officer for 25 hours a week, 10:30 am to 3:30 pm AWST Monday to Friday, working from home in Western Australia. It is a permanent part-time position under the Clerks - Private Sector Award at Level 3, paid AUD 31.11 an hour plus 12% superannuation.
You will report to our accounts and administration lead and work alongside one other administrator. You are a point of contact for our clients, you keep jobs moving through our systems, and you handle quotes and invoices. Over your first months, as you are trained, you will assist our admin lead with HR paperwork, supplier and software administration, and payroll and payment records, and take on more of that work as you go.
We are looking for someone who has done this kind of work before, needs only general direction, and is comfortable deciding what to handle and what to pass on. You will answer everyday client questions about our reports and process, and pass the technical ones to our assessors.
What you will do
On start:
- Answer client emails and calls, respond promptly, and triage technical enquiries to the right person
- Load recent jobs into our job system with the right documents,
keep job statuses and deadlines current, and send completed reports to clients on schedule
- Prepare quotes from our client fee schedules and issue invoices in Xero
- Follow up quotes and overdue invoices
- Cover the admin desk when a colleague is away
As you are trained you responsibilities will increase to support admin where required:
- HR paperwork: onboarding and offboarding files, contract and policy acknowledgements, leave records, uniforms and equipment
- Supplier and software administration: licences, credit top-ups, equipment orders, support tickets, mailbox and user access
- The renewals calendar: insurance renewals, certificates of currency, subscriptions
- Recruitment logistics: scheduling interviews, reference checks, offer paperwork
- Payroll and payments support: timesheet checks, preparing contractor and supplier payment batches for approval, keeping Xero and Stripe records current
About you
Essential:
- At least three years in an administration, accounts administration or office coordination role
- Hands-on Xero experience (quotes, invoicing, reconciliation)
- Clear, professional written English and a confident phone manner
- Strong attention to detail: you check job numbers, purchase orders and amounts before they go out
- Able to work with general direction, prioritise your own day and know when to escalate
- Quick to pick up new systems
- Based in Western Australia (the role works to AWST business hours), with a quiet home workspace and reliable internet
- The right to work in Australia
Desirable:
- Payroll or HR administration experience
- Experience in building, construction or a professional services firm
- Familiarity with NatHERS, BASIX or NCC related provisions.
- Zoho or Employment Hero experience
- Two monitors, and peripherals
