Job Purpose n
We are seeking an enthusiastic, highly organised
Graduate Human Resources Administrator
to join our growing small business. This is an entry‐level position designed for a recent graduate looking to launch their career in HR. You will serve as the operational backbone of our HR function, managing day-to-day administrative tasks, maintaining data integrity, and supporting the complete employee lifecycle. This role offers mentorship through the utilisation of third party consultants, hands‐on experience across multiple HR functions, and a clear path for professional growth as we continue to grow.
Key Responsibilities 1. HR Administration & Systems Support n
Maintain data integrity within the Human Resources Information System (HRIS) by accurately updating employee records, role changes, and personal details.

Manage the shared HR inbox, responding to routine inquiries regarding policies, leave, and benefits, or escalating complex issues.
n
Draft employment contracts, variation letters, and official company correspondence.
n
Assist with compliance auditing, tracking mandatory training, and managing digital employee files with strict confidentiality.
2. Onboarding & Offboarding Coordination n
Coordinate the end‐to‐end onboarding process for new starters, including sending pre‐employment paperwork, setting up IT profiles, and scheduling orientation schedules.
n
Act as the primary point of contact for new hires during their first week.
n
Administer offboarding workflows, ensuring exit checklists are completed, systems access is revoked,
and exit interviews are scheduled.
3. Recruitment & Talent Acquisition Support n
Assist the internal recruitment team by posting jobs to external career portals and tracking applications.
n
Liaise with candidates to schedule phone screens, panel interviews, and coordinate feedback tracking.
n
Initiate pre‐employment screening, including reference checks and background verifications.
n
Facilitate offshore recruitment through engaging with our migration agency.
4. Payroll & Leave Liaison n
Support payroll cycles by compiling monthly variations data, including unpaid leave, overtime, and structural changes.
n
Track and reconcile employee leave requests (sick leave, annual leave) within the system.
5. HR Projects & Culture Initiatives n
Provide administrative and data support for annual performance review cycles and training calendars.
n
Help coordinate internal staff events, health and wellness initiatives, and engagement surveys.
Requirements & Qualifications n
Education:
A recent Bachelor's Degree in Human Resources Management, Business Administration, Psychology, Law, or a related discipline.
n
Experience:
Prior internships, clerkships, or customer‐facing admin experience is highly regarded but not strictly mandatory.
n
Tech Savvy:
Strong proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with any HRIS or Applicant Tracking System (ATS) is a distinct advantage.
n
Confidentiality:
Demonstrated ability to handle highly sensitive, confidential business data with complete discretion.
n
Skills:
Exceptional written and verbal communication, acute attention to detail, and the ability to multitask effectively in a fast‐paced corporate workplace.
