Venue Management Association (Asia and Pacific) Pty Ltd – Milton QLDThe Finance and Systems Manager owns the end-to-end finance function for the VMA, including management reporting, contract management, and the systems that keep the organisation running smoothly.
This is a hands‐on role for someone who enjoys wearing multiple hats in a small not‐for‐profit team — part finance lead, part systems owner, part office manager.
You'll work closely with the CEO and be trusted with real responsibility from day one.Key responsibilitiesOwn the end‐to‐end finance function, including management reporting to the CEO and BoardOversee the external bookkeeping contractor and ensure accurate, timely financial recordsChase outstanding invoices and membership renewalsManage budgeting, cash flow monitoring, and financial compliance obligationsMaintain appropriate segregation of duties and financial controlsOversee contract management across the business (vendor, supplier, event, and partner agreements)Maintain VMA's insurances and ensure ongoing compliance obligations are metAct as systems owner for Xero and the CRM (Glue Up), including administration, troubleshooting, and process improvementIdentify and champion opportunities for automation and agentic AI to improve efficiency across finance and operationsAct as office manager, handling day‐to‐day admin and keeping the office running smoothlyAbout youProven experience carrying financial and operational responsibility in a small not‐for‐profit or similarly lean teamFormal accounting qualification, part‐qualification (e.g. Diploma or Certificate IV in Accounting,



or studying towards CPA Australia/CA ANZ), or equivalent demonstrated experience identifying and querying technical accounting treatmentGenuine interest in automation and agentic AI as drivers of efficiency and systems improvementStrong working knowledge of Xero (or comparable accounting software) and CRM platformsConfident managing contracts, insurances, and compliance obligations independentlyHighly organised, self‐directed, and comfortable owning outcomes rather than just tasksDesirable: A finance‐led General Manager background, or similar breadth across finance, systems and operationsDesirable: Understanding of the venue and event industriesDesirable: Prior experience in a membership‐based or peak body associationAbout usThe VMA is the peak body for venue professionals across Australia, New Zealand and the broader Asia‐Pacific region.
