PERSONAL / EXECUTIVE ASSISTANT — BOUTIQUE HOTEL DEVELOPMENT & OPERATIONSWe have amended this role due to feedback.Part‐Time / Casual | 4–5 Days per Week | BrisbaneWe are a property development company entering a new stage of growth, with our focus now shifting from traditional residential development to developing and operating our own boutique hotels.Our business has two closely connected sides:1.
Boutique Hotel DevelopmentWe acquire and develop properties into distinctive boutique hotels, including renovation, fit‐out, design, construction coordination and everything required to take a property from acquisition through to opening.2.
Boutique Hotel OperationsOnce completed, we operate the hotels ourselves, managing guests, cleaners, maintenance, suppliers, systems and the day‐to‐day operation of the properties.We are looking for a highly capable, practical and resourceful Personal / Executive Assistant to become the Director's Brisbane‐based right hand and assist across both sides of the business.This is not a traditional desk‐based EA role and not a traditional hotel receptionist role.It is a hands‐on, varied position for someone who enjoys solving problems, taking ownership and getting things done.Some days will involve administration.
Other days you may be at a hotel checking rooms, buying supplies, coordinating cleaners, meeting a tradesperson, attending a property inspection or consultant meeting, taking photos of a potential acquisition or helping physically set up a newly completed hotel.No two days will necessarily look the same.Responsibilities may include:Responding to guest enquiries and resolving guest issues during working hoursRecruiting, onboarding and coordinating cleanersManaging cleaner schedules and ensuring rooms are turned over on time and to standardChecking hotel rooms and ensuring they are guest‐readyCoordinating maintenance, repairs and tradespeopleManaging linen, stock, supplies and purchasingPurchasing or collecting items when requiredProviding access to cleaners, contractors and tradesUsing Airbnb, hotel/property management systems and operational appsHelping develop and improve hotel procedures and systemsAttending our Brisbane hotels when something needs attentionTroubleshooting unexpected problems and seeing them through to resolutionHotel operations can be unpredictable.
A guest may lock themselves out, a cleaner may cancel, something may break or an essential item may suddenly be missing.We need someone whose natural response is:"Okay,



I'll work out how to solve it."As we acquire and develop additional boutique hotels, you will also assist with the development and setup process.This may include:Attending properties, inspections and site meetings on behalf of the DirectorTaking photographs and videos and reporting backLiaising with builders, tradespeople and suppliersLiaising with certifiers, town planners, engineers and other consultantsProviding contractors and consultants with property accessFollowing up quotations, contractors, consultants and outstanding mattersAssisting with new property acquisitions and due diligenceAssisting with renovation and fit‐out coordinationAttending occasional meetings on behalf of the DirectorYou do not need to be a property developer, builder or construction expert.You need to be organised, confident dealing with different people, able to gather information, report back clearly and follow matters through.An important part of this role will be helping us turn newly developed properties into fully operational boutique hotels.This can be very hands‐on and may include:Sourcing and purchasing furnitureBuying linen, bedding, towels and hotel suppliesPurchasing kitchen utensils, appliances and guest amenitiesRecruiting and onboarding cleanersFinding and coordinating suppliersSetting up roomsChecking what is missingOrganising trades to resolve last‐minute issuesHelping establish stock, purchasing and operational systemsPhysically attending the property and doing whatever reasonably needs to be done to get it ready for openingPA / EA & Business AdministrationAlongside hotel development and operations, you will provide general PA/EA support to the Director.This may include:General administration and correspondenceMaintaining records, spreadsheets and documentationCoordinating appointments and meetingsFollowing up people and outstanding tasksSupplier and invoice administrationProperty documentationResearch and sourcingLiaising with real estate agents and property managersCoordinating property photography and photoshootsCollecting, cutting and delivering keysGeneral PA/EA tasks as requiredWhen hotel operations are quiet, you will naturally move across to development,



property or administrative work.Who We're Looking ForHotel experience is welcome but not essential.You may come from an EA/PA, administration, property, project coordination, construction administration, office management, operations or small‐business background.We are looking for someone who:Is naturally resourceful and solution‐focusedTakes ownership rather than waiting to be told every next stepHas excellent follow‐throughStays calm when plans change or several things happen at onceCan prioritise competing issuesIs comfortable making sensible decisions independentlyIs practical and genuinely happy to be hands‐onCan switch comfortably between administration and practical tasksNotices what needs doing and acts on itIs comfortable dealing with guests, cleaners, tradespeople and skilled consultantsIs confident using mobile apps and technologyHas a current driver's licence and reliable vehicleIs looking for a stable, long‐term role with room to growPlease Read Before ApplyingThis role will not suit someone looking for a traditional hotel reception position, a purely desk‐based EA/admin role, highly repetitive duties or a workplace where every situation has an established procedure.Our business is entrepreneurial and growing.
Particularly when developing and opening a new hotel, things change quickly and unexpected problems arise.We need someone who enjoys that environment and whose instinct is to assess the situation, find a sensible solution and get it sorted.For the right person, there is significant opportunity to grow with the business.As our boutique hotel portfolio expands, this role could develop into a Boutique Hotel Development / Operations Manager position, with increasing responsibility for setting up and operating new hotels in Brisbane and potentially interstate.Application QuestionPlease answer the following question when applying:It is 1:30pm.
