Joining our team as Sales & Operations Administrator means owning the client experience from first inquiry to event delivery.
You'll pair your hospitality experience and digital savviness to coordinate seamlessly with our wider operations, ensuring exceptional service while driving real, measurable community impact.
Role Description
At Meals with Impact, every corporate lunch, catered event, and volunteering session directly creates training and dignified employment pathways for migrant and refugee women.
But incredible food and meaningful mission need seamless execution to work, and that's where you come in.
As our Sales & Operations Administrator, you are the vital link that turns customer interest into smooth, memorable experiences, powering the commercial engine behind our social impact.
Qualifications
You'll act as the first point of contact for our clients and the operational glue holding our bookings together managing the end-to-end journey for catering, events, and corporate volunteering programs.
On any given day, you might be:
Driving Sales & Client Engagement: Responding warmly to inquiries, drafting proposals, following up quotes, and building genuine relationships with corporate and community partners.
Mastering the Operations: Keeping our events calendar up to date, handling essential admin (invoicing, scheduling, logistics),
and ensuring seamless communication between clients and our commercial kitchen.
Bringing Events to Life: Coordinating event details from initial booking through to delivery including stepping in in office when needed to make sure everything runs without a hitch.
About You
You don't need to tick every single box to be right for this role, what matters most is that you have a solid grounding in hospitality, comfortable digital confidence, and a passion for working with purpose.

What You'll Bring
Hospitality Background (Minimum 3+ years): You know how catering, events, or venue service work from the inside out.
You understand flow, client communication, and how to stay calm when priorities shift.
Service & Admin Mindset: You enjoy engaging with clients with warmth and care, and you take pride in keeping details organized from follow ups to booking details.
Tech-Savvy Confidence: You're comfortable navigating Microsoft Office (Outlook, Excel, Word) and are quick to learn software like CRMs, automation integrations, production and calendar tools.
Adaptability:
You're a natural problem-solver with a 'can-do' attitude, ready to pivot when a last-minute order comes through or step in on-site for key events when needed (including occasional evenings or weekends).

Base Rate: $***** per hour + 12% Superannuation.
Consistent Hours: Secure, day shift schedule offering better work life balance than standard venue hospitality.
Structured Mentorship: Fortnightly, 1-on-1 mentoring sessions with the ELT.
12-Month Role Expansion: Opportunity after 12 months (and a positive performance review) to take on staff management, budget oversight, and broader operational management.
On-the-Job Training: Initial orientation, weekly progress check-ins, and direct exposure to quoting, CRM management, and event logistics.
