Brisbane Rheumatology is a specialist practice at 135 Wickham Terrace, Spring Hill, with ten rheumatologists across Level 3 and Level 9. About the role

Brisbane Rheumatology is seeking an experienced Senior Medical Receptionist – Front Office Lead to join our team in Spring Hill. In this full-time role you'll lead our front office across Level 3 and Level 9, working closely with our Business Manager. You'll oversee the reception team, keep day-to-day operations running smoothly, and set the tone for every patient's experience of our practice.

This role includes a formal review at six months. With demonstrated success, it grows into an Office Manager role.

What you'll be doing

- Leading the reception team, including the daily check-ins, rostering, and covering leave and sick days
- Training,



mentoring and buddying new and junior staff, including our casual pool
- Acting as the first point of escalation for patients, doctors and referrers, including complaints and feedback
- Implementing and maintaining front office procedures, policies and checklists, and fixing process problems
- Greeting patients warmly and keeping a calm, organised front office
- Managing appointments, rescheduling and cancellations with care and attention to detail
- Processing patient registrations and keeping patient records accurate
- Checking referrals are valid and on file before appointments
- Handling billing, payments and end-of-day reconciliation accurately
- Managing phone enquiries and coordinating with doctors and staff to keep clinics running on time
- Keeping reception areas tidy, stocked and well presented
- Maintaining patient confidentiality and privacy at all times

What we're looking for

- 3+ years' experience in medical reception or healthcare administration (specialist practice preferred), including time in a supervisory or lead role
- Proven experience leading reception teams or training and mentoring junior staff
- Solid working knowledge of Medicare and private billing, specialist referrals and patient payments
- Solid medical terminology; rheumatology or specialist practice experience is highly desirable
- Advanced skills in practice management software; Gentu / Genie or Xestro experience is highly regarded, and Health Engine or Coviu experience is a bonus
- Calm, professional and organised under pressure, with a high level of accuracy
- Excellent written and verbal communication and a professional telephone manner
- Knowledge of Australian privacy laws and health information confidentiality
- A caring, empathetic approach, particularly with patients living with chronic conditions
