PERSONAL / EXECUTIVE ASSISTANT — BOUTIQUE HOTEL DEVELOPMENT & OPERATIONS

Part‑Time / Casual | 4–5 Days per Week | Brisbane

We are a property development company entering a new stage of growth, with our focus now shifting from traditional residential development to developing and operating our own boutique hotels .

Our business has two closely connected sides:

1. Boutique Hotel Development

We acquire and develop properties into distinctive boutique hotels, including renovation, fit‑out, design, construction coordination and everything required to take a property from acquisition through to opening.

2. Boutique Hotel Operations

Once completed, we operate the hotels ourselves, managing guests, cleaners, maintenance, suppliers, systems and the day‑to‑day operation of the properties.

We are looking for a highly capable, practical and resourceful Personal / Executive Assistant to become the Director’s Brisbane‑based right hand and assist across both sides of the business.

This is not a traditional desk‑based EA role and not a traditional hotel receptionist role .

It is a hands‑on, varied position for someone who enjoys solving problems, taking ownership and getting things done.

Some days will involve administration. Other days you may be at a hotel checking rooms, buying supplies, coordinating cleaners, meeting a tradesperson, attending a property inspection or consultant meeting, taking photos of a potential acquisition or helping physically set up a newly completed hotel.

No two days will necessarily look the same.

Responsibilities may include:

- Responding to guest enquiries and resolving guest issues during working hours
- Recruiting, onboarding and coordinating cleaners
- Managing cleaner schedules and ensuring rooms are turned over on time and to standard
- Checking hotel rooms and ensuring they are guest‑ready
- Coordinating maintenance, repairs and tradespeople
- Managing linen, stock, supplies and purchasing
- Purchasing or collecting items when required
- Providing access to cleaners, contractors and trades
- Using Airbnb, hotel/property management systems and operational apps
- Helping develop and improve hotel procedures and systems
- Attending our Brisbane hotels when something needs attention
- Troubleshooting unexpected problems and seeing them through to resolution

Hotel operations can be unpredictable. A guest may lock themselves out, a cleaner may cancel, something may break or an essential item may suddenly be missing.

We need someone whose natural response is:

“Okay, I’ll work out how to solve it.”





As we acquire and develop additional boutique hotels, you will also assist with the development and setup process.

This may include:

- Attending properties, inspections and site meetings on behalf of the Director
- Taking photographs and videos and reporting back
- Liaising with builders, tradespeople and suppliers
- Liaising with certifiers, town planners, engineers and other consultants
- Providing contractors and consultants with property access
- Following up quotations, contractors, consultants and outstanding matters
- Assisting with new property acquisitions and due diligence
- Assisting with renovation and fit‑out coordination
- Attending occasional meetings on behalf of the Director

You do not need to be a property developer, builder or construction expert.

You need to be organised, confident dealing with different people, able to gather information, report back clearly and follow matters through.

An important part of this role will be helping us turn newly developed properties into fully operational boutique hotels.

This can be very hands‑on and may include:

- Sourcing and purchasing furniture
- Buying linen, bedding, towels and hotel supplies
- Purchasing kitchen utensils, appliances and guest amenities
- Recruiting and onboarding cleaners
- Finding and coordinating suppliers
- Setting up rooms
- Checking what is missing
- Organising trades to resolve last‑minute issues
- Helping establish stock, purchasing and operational systems
- Physically attending the property and doing whatever reasonably needs to be done to get it ready for opening

PA / EA & Business Administration

Alongside hotel development and operations, you will provide general PA/EA support to the Director.

This may include:

- General administration and correspondence
- Maintaining records, spreadsheets and documentation
- Coordinating appointments and meetings
- Following up people and outstanding tasks
- Supplier and invoice administration
- Property documentation
- Research and sourcing
- Liaising with real estate agents and property managers
- Coordinating property photography and photoshoots
- Collecting, cutting and delivering keys
- General PA/EA tasks as required

When hotel operations are quiet,



you will naturally move across to development, property or administrative work.

Who We’re Looking For

Hotel experience is welcome but not essential .

You may come from an EA/PA, administration, property, project coordination, construction administration, office management, operations or small‑business background.

We are looking for someone who:

- Is naturally resourceful and solution‑focused
- Takes ownership rather than waiting to be told every next step
- Has excellent follow‑through
- Stays calm when plans change or several things happen at once
- Can prioritise competing issues
- Is comfortable making sensible decisions independently
- Is practical and genuinely happy to be hands‑on
- Can switch comfortably between administration and practical tasks
- Notices what needs doing and acts on it
- Is comfortable dealing with guests, cleaners, tradespeople and professional consultants
- Is confident using mobile apps and technology
- Has a current driver’s licence and reliable vehicle
- Is looking for a stable, long‑term role with room to grow

Please Read Before Applying

This role will not suit someone looking for a traditional hotel reception position, a purely desk‑based EA/admin role, highly repetitive duties or a workplace where every situation has an established procedure.

Our business is entrepreneurial and growing. Particularly when developing and opening a new hotel, things change quickly and unexpected problems arise.

We need someone who enjoys that environment and whose instinct is to assess the situation, find a sensible solution and get it sorted.

For the right person, there is significant prospect to grow with the business.

As our boutique hotel portfolio expands, this role could develop into a Boutique Hotel Development / Operations Manager position, with increasing responsibility for setting up and operating new hotels in Brisbane and potentially interstate.
