Role overview
The Executive Administration Officer is responsible for confidential and personal administrative support for the CEO, Deputy CEO, the Board of Directors and the Corporate Services team. The role also supports governance processes, project and meeting administration, documentation management, and office operations including digital record keeping.
This position helps ensure executive and Board functions operate effectively, with governance, documentation and compliance aligned to organizational requirements, applicable funding agreements and operational planning.
Candidate profile
Mulungu is looking for an experienced administration qualified who can manage confidentiality, support governance processes, and deliver accurate documentation and meeting support. You will be comfortable working with senior leaders, managing competing deadlines,
and maintaining high standards in records management and compliance.
- Certificate IV or higher qualification in Business Administration, Governance, Management or a related field, or equivalent demonstrated experience.
- Minimum three years’ experience providing executive or board support.
- Demonstrated experience preparing agendas, meeting papers and minutes for Boards.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to manage competing priorities and deadlines.
- High accuracy and attention to detail, including a strong ability to maintain confidentiality and discretion.
- Understanding of governance principles and Board processes.
- Well-developed computer skills, including the ability to operate databases and relevant software. Advanced Microsoft skills including Word, Excel, Outlook, Teams and PowerPoint
- Sound interpersonal communication skills and the ability to liaise respectfully with senior managers, other agencies and members of the public.
- Current Queensland C Class Driver License, Current Working with Children (Blue Card), Current National Police Check or ability to obtain prior to commencement.
- Ability to work respectfully and effectively with Aboriginal and Torres Strait Islander people, families and communities.
Desirable (not mandatory): experience working within an Aboriginal Community Controlled Health Organization, and understanding of the Privacy Act, Corporations Act and relevant funding compliance requirements.
