SANY is one of the world’s largest equipment manufacturers.

Our range has grown quickly and now includes:

- excavators and rollers
- crushing and screening equipment
- asphalt and roading machinery
- SANY trucks, including electric models

We have recently opened a second Victorian site at Lara, and we are building out our service and parts teams. Aftersales is at the centre of our strategy, and this role is a key part of it.

About the role

The Service Advisor is the customer's main point of contact for workshop and field service in Victoria. The role turns enquiries into scheduled, quoted, completed and invoiced jobs across Vertu's SANY product lines, and coordinates pre-delivery so machines sold are ready for handover on the agreed date. The Service Advisor protects service revenue and customer confidence by making sure every job is correctly scoped, authorised, recorded and billed. The advisor manages each job from first contact to final invoice, including capturing machine and fault details, preparing quotes, keeping customers informed, closing job cards accurately and submitting warranty claims to SANY. It also includes coordinating pre-delivery inspection and fit-out of new and used machines, so customers receive them on the date Sales has committed to.

Key responsibilities

- Act as first contact for service enquiries by phone, email and at the counter; capture complete job information at intake including customer, site, machine model, serial number, hours, fault description and urgency
- Check warranty and service agreement status before the job is booked; confirm site access,



induction and safety requirements for field jobs before a technician is dispatched
- Prepare service and repair quotes using the current Victorian service rate card and parts pricing from the Parts team; obtain a purchase order or written authorisation before work starts
- Open, maintain and update job cards in the business system; track progress of open jobs and keep customers informed at agreed points, including delays caused by parts or diagnosis
- Confirm parts availability with the Parts team before jobs are scheduled; work with the Service Coordinator and Service Manager to match jobs to technician skills and location
- Review completed job cards for labour hours, travel, parts, consumables and technician notes before invoicing; issue accurate invoices within agreed timeframes
- Open a pre-delivery job card for each machine sold, recording the build specification, attachments, options and agreed delivery date; track machine arrival and arrange an inbound inspection for transport damage
- Schedule pre-delivery inspection and fit-out with the Service Coordinator and the Pre-Delivery and Workshop Technician; confirm the pre-delivery checklist is completed to SANY requirements and signed off before the machine is released
- Prepare and submit warranty,



pre-delivery and goodwill claims to SANY with the required evidence; track claims through to payment and follow up rejected or delayed claims
- Maintain a service-due schedule for customer machines based on hours and service intervals; contact customers ahead of scheduled services and book them in

About you

At least 3 years as a service advisor or service administrator in a heavy equipment, truck, agricultural or similar dealership

Enough mechanical understanding of diesel machinery to discuss faults with customers and technicians and scope jobs correctly

Experience preparing quotes, managing job cards and invoicing

Competent with a dealer or ERP system, Microsoft Excel and Outlook

Clear phone and written communication, including handling difficult conversations about cost and delays

Organised and thorough: manages many open jobs at once without losing detail

Commercially aware: understands that unbilled hours and late warranty claims are lost revenue

Customer-focused: responsive, follows through on commitments and keeps customers informed without being chased

Calm under pressure: handles breakdowns and frustrated customers professionally
