Coordinate Eucharist28 events from planning and procurement through to on-site delivery.

Manage logistics, suppliers, budgets, risks, schedules and event documentation.

Build productive stakeholder relationships and support the Eucharist28 conference program.

About the International Eucharistic Congress

Eucharist28 is a global Catholic event centred on the celebration of the Eucharist. Sydney will host the next Congress in 2028, bringing tens of thousands of international pilgrims to the city alongside hundreds of thousands of Australians.

The 2028 Congress will mark the centenary of Australia's first International Eucharistic Congress, held in Sydney in 1928. Last hosted in Australia in 1973, the Congress is celebrated every four years in a different location. It will again place Sydney at the centre of the global Catholic Church and aims to renew Christian life and encourage participation in the life and mission of the Church.

The Catholic Archdiocese of Sydney, which is coordinating the Congress, is seeking an accomplished event skilled with a strong commitment to the Church's mission to help deliver this significant global event.

About the Role

The Eucharist28 preparatory program will include launches, formation events, pilgrim gatherings, fundraising events, stakeholder forums, liturgical celebrations, promotional activations and international pilgrimages. The Senior Coordinator,



Special Events is responsible for the delivery of all preparatory events with a focus on the international pilgrimage across Oceania.

Reporting to the Director of Events and Operations, you will prepare project plans, run sheets, production schedules and operational timelines. You will coordinate venues, suppliers, equipment, catering, accommodation and transport, while monitoring budgets, risks, actions and delivery milestones.

You will support on-site operations from bump-in through to bump-out, maintain risk and compliance documentation, coordinate stakeholder meetings and supplier requirements, and contribute to debriefs and post-event reporting. The role will also provide project and administrative support to the Eucharist28 conference program.

This is a full-time fixed-term position until 3 November 2028.

About You

You are a practical and highly organised event professional who follows through on detail and remains calm when priorities change. You build effective relationships with colleagues, Church stakeholders, suppliers, volunteers and government agencies.

As the ideal candidate, you will meet the following key requirements:

- Significant experience in event management.
- Experience supporting the planning and delivery of events, including logistics, suppliers, venues and on-site operations.
- Strong organisational skills, with the ability to manage multiple activities, timelines and priorities and prepare clear plans, run sheets,



schedules and operational documentation.
- Sound understanding of event risk, work health and safety, safeguarding and compliance requirements.
- Experience coordinating quotations, procurement, supplier documentation, invoices and event expenditure.
- Demonstrated ability to build productive relationships with internal and external stakeholders and service providers.
- Strong written and verbal communication skills, including experience preparing reports, briefings, agendas and meeting minutes.
- Relevant qualifications and experience in an Event Control Room would be well regarded. A current NSW Working with Children Check and demonstrated commitment to the ethos and values of the Catholic Church are required.

The successful candidate will be required to undertake a Nationally Coordinated Criminal History Check and must hold a current Working with Children Check, or be willing to obtain one.
