Executive Assistant to the CEO and People & Culture Coordinator
RCPA Quality Assurance Programs – St Leonards Park NSW
The Royal College of Pathologists of Australasia and The Royal College of Pathologists of Australasia Quality Assurance Programs are committed to improving health outcomes through leadership in pathology, quality assurance, professional standards, education, training and innovation.
This full time, dual role will:
Support the effective operation of the CEO’s office through timely executive and administrative support.
Coordinate the day-to-day People & Culture administration across the employee lifecycle for RCPA and RCPAQAP.
Major Responsibilities:
Executive Assistant to the RCPAQAP CEO
Provide executive support to the CEO, managing diary commitments, correspondence, travel and meeting arrangements to support effective use of time.
Coordinate Board and executive meeting requirements, including agendas, papers, taking minutes and follow-up actions, in liaison with relevant stakeholders.
Act as a key point of contact for the CEO’s office, liaising professionally with Board members, employees, RCPA colleagues and external stakeholders.
Prepare and review correspondence, presentations and reports, ensuring accuracy, timely completion and appropriate handling of confidential information.
Track commitments, deadlines and actions arising from CEO-led initiatives, following up with relevant stakeholders and bringing outstanding matters to the CEO’s attention.
People and Culture Administration for RCPA and RCPAQAP
Prepare employment contracts and documentation relating to any variations in employment including but not limited to remuneration letters, higher duties, position descriptions, secondments, etc.
Maintain accurate employee records in both organisations’ HRIS (Human Resources Information System).
Proofread,
update and maintain legacy and recent HR documentation.
Respond to operational employee enquiries, escalating matters requiring P&C; advice to the People & Culture Business Partner.
Assist with recruitment, onboarding, induction and offboarding.
Keep the People and Culture Share Point updated.
Further duties as directed. This may include administrative support for Governance, workshops and events at RCPAQAP.
Skills & Experience:
Proven record of attention to detail with a strong emphasis on accuracy.
High level of discretion, sound judgement and the ability to handle sensitive and confidential information.
Ability to work independently and in a collaborative team environment.
Sound computer skills, particularly Microsoft Office Suite.
Experience working in health, government, and/or education setting
Time management skills and the ability to prioritise effectively
Ability to be flexible and adapt work practices to suit circumstances.
Demonstrated verbal and written communication skills.
Proven ability to work both as a team member and independently on tasks.
Proven ability to work in a cross-functional environment and multi task.
Demonstrated commitment to the principles and practice of EEO, Ethical Conduct, diversity and WHS.
Office, PC2 laboratory and warehouse.
Flexibility in working hours is required.
