Your Way Support Services (YWSS) is a family-owned, registered NDIS provider supporting people with disability and veterans to maintain independence, access practical support and work towards their goals. About the role
Your Way Support Services (YWSS) is seeking an experienced Administration Assistant to maintain participant and staff records and support day-to-day administration for our disability and veteran support services. Reporting to management, you will take ownership of allocated work, keep records accurate and current, follow up outstanding requirements and raise issues early. This role suits someone who can work independently from home, communicate clearly and reliably manage recurring deadlines and follow-up.
Key responsibilities
Maintain participant files, complete fortnightly file reviews and follow up missing, expired or unsigned documents.
Review and finalise quarterly progress reports, service agreements, consents, participant profiles, emergency plans and other required records using approved templates and source information.
Monitor worker qualifications and screening alerts each workday, request renewals and record follow-up through to completion or escalation.
Review outstanding support-worker shifts and progress notes, seek corrections and process time,
travel and leave administration within delegated authority.
Assist with routine rostering and short-term shift coverage, recruitment, screening, onboarding and system records.
Answer incoming phone calls, respond to participant, staff and stakeholder enquiries, maintain clear records and provide useful handovers.
Complete other ad hoc administrative tasks as required.
Submit accurate fortnightly reports and immediately raise participant safety concerns, significant compliance issues and other matters requiring management action.
About you
Substantial administration experience, preferably in disability, community, health or another regulated service environment.
Strong document preparation, written communication and record-checking skills, with close attention to accuracy.
A reliable approach to planning work, meeting deadlines and following up outstanding tasks.
Confidence using Microsoft 365, Word, Excel, Outlook and OneDrive, and the ability to learn electronic records systems.
Sound judgment about what you can action independently and what requires management approval.
Professional communication, respect for participant rights and a solid commitment to confidentiality.
Availability during agreed full-time working hours and a private, suitable workspace for handling confidential information.
