We are seeking a highly organised and community-focused Administrative Officer / Program Coordinator to undertake a dual-role position that combines administrative support and program coordination responsibilities. This is a dual role, split between administration and coordination of the Aged Care Volunteer Visitors Scheme (ACVVS) program, supporting volunteer recruitment, stakeholder engagement, compliance, rostering, reporting, and day-to-day operational activities.

About the Role
As the Administrative Officer / Program Coordinator , you will perform a dual-function role that balances administrative support responsibilities with the coordination and delivery of the ACVVS program.
Your role will encompass administration, including customer service, reporting, records management, recruitment support, rostering, and general operational tasks. It will also focus on program coordination, ensuring the successful delivery of the ACVVS program through volunteer recruitment and support, referral management, stakeholder engagement, compliance monitoring, and achievement of program objectives.
The role requires exceptional organisational skills, attention to detail, and the ability to build positive relationships with volunteers, participants, aged care providers, community organisations, clients, and their families.
Key Responsibilities
- Respond to phone and email enquiries in a professional and timely manner.
- Maintain accurate records, databases, filing systems, and documentation.
- Coordinate rostering, staff allocations, and timesheet administration.
- Prepare reports, correspondence, and administrative documentation.
- Support recruitment, onboarding, and employment compliance activities.
- Assist with payroll, record management, and operational administration as required.
- Provide general administrative support to management and the broader team.
- Ensure organisational records are maintained in accordance with policy and compliance requirements.
Program Coordination & Compliance
- Coordinate the delivery of the ACVVS program in line with funding agreements and program guidelines.
- Monitor program performance against targets and KPIs.
- Maintain accurate program records and reporting data.
- Ensure compliance with organisational policies, funding requirements, and legislative obligations.
- Prepare program reports and documentation as required.
Volunteer Recruitment & Support
- Recruit, screen, onboard, and retain volunteer visitors.
- Coordinate volunteer orientation, training, and ongoing support.
- Conduct compliance checks, including police checks, references,
and other required screening.
- Support volunteer engagement and retention initiatives.
Referrals & Participant Support
- Manage referrals from aged care providers and community stakeholders.
- Assess participant suitability and coordinate volunteer matching.
- Monitor volunteer relationships and provide ongoing support.
- Resolve concerns and maintain regular communication with all stakeholders.
Stakeholder Engagement
- Build and maintain effective relationships with aged care providers, community organisations, and referral partners.
- Promote the ACVVS program within the community.
- Attend networking events, meetings, and represent New Care Services professionally.
About You
To be successful in this role, you will have:
- Previous experience in administration, office coordination, or business support roles.
- Experience coordinating community programs, volunteers, aged care services, disability services, healthcare services, or similar programs.
- Robust organisational and administrative skills with a high level of attention to detail.
- The ability to balance multiple priorities across both administration and program coordination functions.
- Excellent communication and stakeholder engagement skills.
- Experience using Microsoft Office Suite, databases, and administrative systems.
- A proactive, solutions-focused attitude and the ability to work autonomously.
- A genuine passion for supporting older Australians and strengthening community connections.
