About the Role
As our Cryo-Management Coordinator, you'll play a vital role in supporting the safe management and movement of stored embryos and gametes while delivering exceptional service to patients during some of the most significant moments of their lives.
Working closely with our Laboratory Supervisor and multidisciplinary teams across the business, you'll help ensure processes are managed accurately, sensitively, and in accordance with regulatory requirements.
Key Responsibilities
- Coordinate the storage, transfer, import and export of embryos and gametes in line with legislation and clinical protocols
- Liaise with patients, laboratories and internal stakeholders to facilitate timely and accurate movement of cryostored material
- Provide compassionate support and communication to patients via phone, email and written correspondence
- Maintain accurate cryostorage records, customer communications and documentation
- Prepare and process consent forms, laboratory paperwork and related documentation
- Ensure all documentation is completed accurately and distributed in line with Monash IVF policies and legislative requirements
- Work collaboratively with nursing, genetics, embryology, donor and administrative teams
- Coordinate patient requests relating to donations and storage arrangements
- Support administrative activities, including document management, reporting and data entry
- Prepare regular operational reports and assist with ad hoc reporting requests

- Outstanding communication and interpersonal skills
- Advanced proficiency in Microsoft Office, including Word, Excel and OneNote
- Exceptional attention to detail and a commitment to accuracy
- Strong customer service skills, both written and verbal
- The ability to manage multiple priorities and meet deadlines in a busy environment
- Excellent problem-solving and organisational skills
- A compassionate and empathetic approach when supporting patients
- The ability to work collaboratively within a multidisciplinary healthcare setting
- Confidence following detailed procedures, protocols and compliance requirements
