Arcos are seeking a Project Administrator with 5+ years' experience in the construction industry to join our Construction team on the Sunshine Coast in a full-time role. Working closely with our Construction lead, project managers, engineers and site inspectors, you'll support the contract administration and construction-phase services we deliver to clients across a diverse and active pipeline of civil & structural projects.

Success in this position means the ability to keep projects running smoothly behind the scenes – managing contract documentation, correspondence and records with accuracy, supporting the team to meet contractual timeframes, and maintaining high standards of quality and compliance.

Key responsibilities

- Manage project documentation and document control, including drawings, RFIs, transmittals, registers and correspondence.
- Support the Construction Lead and project managers with the processing of progress claims, payment certificates, variations and extension of time claims, ensuring contractual timeframes are met.
- Prepare and issue contract correspondence, including Superintendent's directions, notices and certificates, for review and sign-off.
- Maintain records of site inspections, hold point releases, ITP and QA submissions, and non-conformances reports through to close out.
- Prepare meeting agendas, minutes and client progress reports,



and coordinate close-out documentation including practical completion, defects and as-constructed records.
- Build and maintain strong relationships with clients, contractors, stakeholders and consultants.
- Manage time effectively to handle multiple projects and deadlines.
- Contribute to continuous improvement of administrative processes and project outcomes.

About you

- Minimum 5 years' experience in a project administration or coordination role within the construction industry, ideally on civil & structural projects.
- Experience within a consultancy or contract administration environment is highly regarded.
- Working knowledge of construction contract administration, including progress claims, payment certificates, variations and document control.
- Construction White Card.
- Strong attention to detail and excellent organisational skills.
- Ability to work independently and collaboratively in a team-focused setting.
- Effective communication skills and a professional approach.
- A proactive attitude and commitment to continuous learning.
