My client, a well regarded government department, is seeking an experienced APS5 Executive Assistant to provide high‑level executive and business support within a fast‑paced senior leadership environment. This 6‑month contract requires someone who can hit the ground running, manage complex priorities and support an SES‑level office with confidence, judgement and professionalism.
About the role
Working closely with a First Assistant Secretary, you will manage executive workflows, coordinate high‑volume taskings and support the smooth flow of information, decisions and reporting across a busy division. The role requires strong APS EA experience , excellent organisational skills and the ability to operate with a high degree of independence.
Key Responsibilities
- Proactively manage diary commitments, meetings, inbox priorities and scheduling requirements
- Assess, triage and coordinate incoming requests, ensuring deadlines and clearance pathways are clearly understood
- Prepare agendas, meeting packs, action lists and high‑quality correspondence and briefing material
- Monitor workflows, negotiate timeframes, follow up outstanding actions and elevate emerging issues appropriately
- Support ministerial, parliamentary and corporate processes including PDMS matters,
QTBs and Senate Estimates
- Maintain accurate records, trackers and executive office resources in line with security and privacy requirements
- Build productive stakeholder relationships and communicate professionally on behalf of the executive
- Provide surge and backfill support across the broader executive support cohort when required
Who we’re looking for
- A highly organised EA with strong APS experience supporting senior executives (SES/FAS level highly regarded)
- Someone who can manage competing priorities, exercise sound judgement and work independently
- A confident communicator who builds trusted relationships and engages respectfully at all levels
- A team-oriented team member who supports consistent processes and contributes to continuous improvement
- A professional who demonstrates APS Values, discretion, cultural capability and responsible use of digital tools
Requirements
- Active Baseline Security Clearance (mandatory)
- Ability to commence quickly with minimal onboarding
- Canberra‑based and able to attend the office (full‑time on‑site)
