Do you know your way around SharePoint document libraries, and do you get real satisfaction from turning a messy file structure into one people can actually use? This is a practical, hands‑on assignment with a purpose‑led national industry body.
THE OPPORTUNITY:
The organisation currently works across three SharePoint sites and is bringing them together into one well‑organised site. You will join the project and support each stage:
- Discovery: reviewing what sits across the three sites, including what is used, what is duplicated and what is out of date
- Design: helping shape the new library and folder structure and the naming conventions Planning: preparing content and staff for the move
- Migration: moving content into the new site and checking everything has landed in the right place
WHAT YOU WILL DO:
- Review existing libraries and folders, and flag duplicates, outdated versions and content to archive Work with staff across the organisation to confirm what to keep, what to archive and where content should live
- Set up libraries and folders in the new site and apply the agreed naming conventions
- Move documents across and check them for accuracy and completeness
- Help tidy up basic access to libraries and folders where needed
- Write simple quick‑reference guides and frequently asked questions, and show staff how to use the current structure
- Provide regular progress updates to the project lead
ABOUT YOU:
- Hands‑on, day‑to‑day SharePoint experience as a site owner or confident power user, including document libraries, folders, version history and sharing
- A background in document control, records, information management or detail‑heavy administration
- Excellent verbal communication, with the confidence to talk with staff at all levels, ask the right questions and keep people on track
- Strong stakeholder engagement skills, plus the tact to help colleagues let go of files they might need one day
- Strong Microsoft Office skills and a sharp eye for detail
- Organised and reliable, with the ability to work to deadlines
Please note : this is not an information technology role. No coding, development or Microsoft 365 system configuration is required.
