Own the asset register and support Melbourne-based agency to operate smoothly across a varied Commonwealth corporate services role.
Our client is a Commonwealth regulator responsible for the quality and integrity of a national education sector, with offices across Australia and a large Melbourne presence.
The agency is growing in response to shifting government policy and industry expectations, and its corporate area provides the finance, people, technology, property and governance services that keep its regulatory work running.
The Chance
The Property and Facilities team is looking for an APS4 Corporate Administration Officer on an initial 3-month contract, with the option to extend.
The team sits within Finance and looks after accommodation, facilities, assets and procurement support for every office in the agency’s national network.
This is an onsite role in the Melbourne CBD, where you will be the go-to person for the day-to-day running of the office.
You’ll have the chance to:
- Take ownership of the agency’s asset registers and keep them accurate end to end
- Work across property, facilities, finance and contract administration, so no two days look the same
- Gain hands‑on experience in Commonwealth financial processes, including invoicing, receipting and reconciliation
- Work with internal staff and external service providers across a national office network
- Get a foot in the door at a Commonwealth agency, with the option to extend beyond the first 3-months
The Role
This is a practical, hands‑on role that keeps the Melbourne office and its assets running smoothly.
You’ll be:
- Coordinating building, property and facilities services, including equipment maintenance and day‑to‑day liaison with service providers
- Managing corporate support services such as stationery,
mail and couriers, car parking, building and temporary access cards, and fault reporting
- Maintaining and reconciling the Assets Register in the agency’s finance system
- Keeping the portable and attractive asset registers up to date, with a focus on ICT and property assets
- Processing invoices and goods receipting, reconcile financial data and support contract administration
- Coordinating responses to information requests about local operations and contribute to corporate reporting
The Ideal Person
You are the organised, reliable administrator who keeps an office running without fuss, and you take satisfaction in a register that reconciles.
You can manage your own workload, make sensible calls on priorities, and deal confidently with suppliers and colleagues alike.
You will bring the following skills and experience:
- Experience delivering a broad range of administrative support, ideally including facilities, office services or asset management
- A sound understanding of administrative and information management systems, procedures and record‑keeping standards
- An understanding of the principles of good public administration
- Clear written and verbal communication, and the ability to manage internal and external relationships professionally
- The confidence to negotiate with service providers, solve problems and keep a close eye on detail
Australian citizenship and the ability to obtain a Baseline security clearance are essential.
It s also desirable if you have:
- Experience with invoice processing, receipting or asset registers in a finance system
- Previous experience in an APS or state government corporate services team
Salary / Rate
- $50/hr - $55/hr + Super
- Initial 3-month contract with the option of extension
- Based in the Melbourne CBD, working onsite
