We are looking for a reliable, detail-oriented, and proactive Office Administrator to serve as a key support for our team. You will be responsible for daily office administration and standardized management of company accounts, acting as a coordination point between management, employees, and various departments — ensuring accurate information flow, timely task execution, and effective risk identification and handling.

About the Role

Key Responsibilities (What You'll Do)

- Internal Communication & Coordination: Accurately communicate management directives, follow up on tasks, and consolidate employee feedback to ensure consistent information flow.
- Company Account Management: Manage designated bank, supplier, and platform accounts per company policy, including documentation, permission management, payment/reimbursement follow-up, and record-keeping.
- Cross-Department Coordination: Coordinate administrative needs and shared resources across departments, clarify task owners and deadlines, and drive tasks to closure.
- Meeting & Action Item Management: Schedule meetings for the Director and management team, prepare materials, record key meeting notes, and track action items to completion.
- Risk Identification & Escalation: Maintain high alertness regarding account permissions, payments, contracts, confidentiality, suppliers, and office safety; promptly report any anomalies.
- Proactive Improvement: Identify operational inefficiencies and propose actionable optimization suggestions.
- Progress Reporting: Provide transparent, timely,



and objective progress reports on key tasks.

Qualifications & Requirements (What We're Looking For)

- Education: College degree or above; major in Administration, Business Management, Finance, Accounting, or related fields preferred.
- Experience:
- 2+ years of experience in administration or supporting a management team.
- Experience in account management, payment follow-up, or finance support preferred.
- Experience in cross-department coordination preferred.

- Technical Skills: Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Language Skills: Strong written and verbal communication skills in Chinese; basic English proficiency preferred.
- Key Attributes:

- Basic knowledge of finance or account management.
- Highly responsible, detail-oriented, proactive, with high risk and confidentiality awareness.
- Strong communication and coordination skills; resilient under pressure with the ability to multitask.
- Integrity-driven with strong principles and a commitment to compliance.
