Are you an organised and proactive administrator who enjoys coordinating complex activities and working with a diverse range of stakeholders?
RVTS is seeking a Clinical Teaching Visit (CTV) Coordinator to support the planning, scheduling and administration of our national Clinical Teaching Visit program. In this role, you'll work closely with doctors, supervisors, Clinical Teaching Visitors and Medical Educators to coordinate visits across rural, remote and First Nations communities throughout Australia.

By supporting Clinical Teaching Visits, you'll play a key role in helping doctors progress towards Fellowship while continuing to serve communities where healthcare is needed most.
About RVTS
The Remote Vocational Training Scheme (RVTS) delivers a specialised vocational training program for medical practitioners working in rural, remote and First Nations communities across Australia. Our program enables doctors to achieve Fellowship with the RACGP and/or ACRRM without leaving their communities, supporting sustainable healthcare outcomes where they are needed most.
The Role
The Clinical Teaching Visit Coordinator is responsible for coordinating the delivery of RVTS Clinical Teaching Visits across Australia. The role supports the planning, scheduling and administrative management of visits, working closely with Clinical Teaching Visitors, Registrars, Supervisors, Medical Educators and other stakeholders.
You will coordinate visit schedules, travel arrangements, reporting processes and payments, maintain accurate records, monitor activity against program requirements and assist in identifying and escalating risks, delays and issues. Educational and clinical decisions remain the responsibility of Medical Educators and other authorised staff.
Key Responsibilities
- Coordinate the planning, booking, rescheduling and administration of Clinical Teaching Visits
- Maintain accurate schedules and records of planned, completed and outstanding visits
- Liaise with Registrars, Clinical Teaching Visitors, Supervisors and Medical Educators to coordinate visit arrangements
- Coordinate travel, accommodation and other logistical requirements
- Maintain Clinical Teaching Visitor records, agreements and credentialling information
- Monitor the completion and submission of visit reports and follow up outstanding documentation
- Coordinate approved payments and reimbursements associated with Clinical Teaching Visits
- Maintain accurate records within RVTS systems and databases
- Support reporting, accreditation and quality assurance activities
- Identify and elevate delays, risks and outstanding actions requiring attention
- Assist with review and improvement of procedures, templates and work instructions
- Participate in workshops, events and continuous improvement activities
- Comply with all Workplace Health and Safety policies and RVTS codes of conduct.
Skills and Experience Required
- Strong planning, scheduling and organisational skills
- Demonstrated ability to coordinate multiple stakeholders and competing priorities
- Excellent written and verbal communication skills
- High level of attention to detail and commitment to accurate record-keeping
- Ability to build effective working relationships with internal and external stakeholders
- Ability to identify issues, risks and delays and elevate appropriately
- Solid computer skills, including proficiency in Microsoft 365 applications
- Ability to manage confidential and sensitive information appropriately
- Ability to work effectively with people from diverse cultural backgrounds
- Willingness to undertake occasional travel to support RVTS workshops and events.
Desirable (but not essential)
- Experience in health, medical education, vocational training or another regulated environment
- Experience coordinating schedules, travel arrangements, contractors or service providers
- Experience managing invoices, payments or reimbursement processes
- Experience maintaining compliance, credentialling or quality records
- Experience supporting audits, accreditation or quality assurance activities.
