You’ll be a key member of our in‑house legal team, providing high‑quality legal, corporate and administrative support across the full breadth of Viva’s operations. Reporting to the Senior Legal Counsel and working closely with the General Counsel and the wider legal team, you’ll have a direct line to our senior executive and play an important part in significant corporate and legal matters.

From new site leases across our national network to acquisitions and investment transactions, you’ll be right at the heart of the action. You’ll support work across corporate, commercial, property and mergers and acquisitions, and build a genuinely well‑rounded legal skill set along the way.

Key Responsibilities

As our Paralegal, you’ll provide high‑quality legal, corporate and administrative support across Viva’s operations, working alongside the Senior Legal Counsel and General Counsel.

Your key responsibilities will include:

- Legal and administrative support: Preparing, formatting and finalising legal documents and agreements, managing the team’s filing and contract systems, coordinating signing processes, tracking key dates and carrying out legal and regulatory research
- Corporate and commercial: Supporting governance and compliance activities, preparing first drafts of routine agreements from approved templates, assisting with supplier, partnership, franchise and sponsorship documentation, and helping with ASIC lodgements and entity maintenance across the group
- Property and projects: Supporting lease transactions across our national facility network, including new leases, renewals and variations, maintaining the lease register and critical dates,



assisting with due diligence on new sites and liaising with landlords, agents and external lawyers
- Mergers and acquisitions: Getting involved in M&A; and investment transactions, managing data rooms and completion checklists, collating due diligence materials, preparing signing packs and supporting integration after acquisitions
- Stakeholder engagement and legal operations: Being a first point of contact for internal stakeholders, communicating with franchisees, external lawyers and insurers, supporting the team’s technology and reporting, and contributing to privacy and information governance

Skills and Experience

About you

- Exceptional accuracy and attention to detail, especially when handling legal documents and confidential information
- The ability to prioritise and manage multiple tasks within tight deadlines
- Excellent written and verbal communication skills, and the confidence to engage professionally with staff, external advisers and stakeholders at all levels
- Competence in the Microsoft Office suite (essential), with experience in legal, contract or matter management systems highly regarded
- A self‑starter mindset, able to pick up tasks and see them through to completion while working autonomously with a team spread across Australia
- A collaborative, team‑first approach, a willingness to learn and the agility to adapt to new requirements and roll up your sleeves when needed

Nice to have

- Prior experience in a paralegal, legal assistant or legal administration role, ideally supporting a busy legal team in an in‑house environment or private practice
- Further study towards a Bachelor of Laws (LLB)
