Freedom of Information (FOI) Administrative Support Officer

The FOI Section assists the department to manage its obligations in accordance with the Freedom of Information Act 1982 (FOI Act).
The FOI Administrative Support Officer undertakes vital administrative and case coordination tasks for the FOI Section, including triage and registration of information access and review requests, management of the FOI mailbox, and general enquires received via the FOI Hotline. The FOI Administration Support Officer also assists reporting, process improvement, and other executive support tasks.
The FOI Administrative Support Officer will have strong administrative and communications skills, including the ability to perform tasks independently and manage competing priorities within set timeframes.
The FOI Administrative Support Officer will be supervised by an APS 5 FOI Case Officer.

The FOI Administrative Support Officer will be supervised by an APS 5 FOI Case Officer.
The key duties of the position include:
Key responsibilities:
- Managing the FOI email inbox to ensure that FOI requests and other correspondence are allocated and/or actioned within appropriate timeframes.
- Assessing incoming FOI requests and working under direction to resolve any scoping concerns.
- Registering FOI requests in the department’s FOI case management system (LEX FOI) and creating Content Manager records.
- Identifying FOI decision makers and action officers within the department.
- Assisting FOI case officers to consult and liaise with departmental staff and external government and non-government stakeholders as required, including tracking responses and case progress to ensure compliance with statutory timeframes.
- Coordinating incoming FOI consultations from other government departments and agencies.
- Assisting with preparation and distribution of weekly FOI reports for internal stakeholders.
- Assisting with preparation of quarterly and annual statistical data for the Office of the Australian Information Commissioner (OAIC).
- Providing other administrative support to the FOI leadership team, as required.
Desirable experience:
- Experience using electronic record management systems and databases.
- Demonstrated ability to set priorities, manage own workload, meet deadlines and work effectively under pressure.
- Knowledge of the principles and practices of workplace diversity, workplace participation and a safe working workplace.
Eligibility
- To be eligible for employment with the Department of Health, Disability and Ageing, applicants must be an Australian citizen at the time an offer of employment is made.
- An applicant’s suitability for employment with Health will also be assessed through a variety of pre-employment check processes, such as:
- Satisfactory completion of a criminal history check, and where relevant, a Working with Children and Vulnerable People Check,
- Completion of a medical declaration and pre-employment medical (where required),
- Providing evidence of qualifications (where required), and
- Obtaining and maintaining a security clearance at the required level.
- For this role applicants must be able to obtain and maintain a Baseline Vetting or hold a current security clearance at an appropriate level.

- This recruitment process is being used to fill both ongoing and non-ongoing positions. Non-ongoing positions will be offered on a specified term basis for an initial period of up to 12 months with the possibility of being extended (this will not exceed a total of 24 months in the same or similar role).
