We are seeking a highly organised and customer-focused Rental Coordinator to join our team in Townsville on a fixed-term contract through to the end of 2027, covering a period of parental leave. Reporting to the Business Development Manager - Rental, you'll play a key role in supporting the day-to-day operations of our rental fleet and delivering exceptional service to both internal and external customers.
What you'll be doing:
- Manage rental contracts - prepare and process accurate rental agreements and ensure all documentation is completed correctly and on time.
- Coordinate rental administration - manage area rentals, review monthly invoicing schedules and action rental-related transactions.
- Facilitate equipment logistics - engage transport providers to coordinate the movement of rental equipment to and from customer sites.
- Support fleet readiness - liaise with the Rental Service team to arrange pre- and post-rental machine inspections and servicing requirements.
- Provide quoting support - assist Rental Account Representatives by preparing and issuing equipment hire quotations.
- Deliver exceptional customer service - respond to rental enquiries, follow up opportunities and maintain strong customer relationships.
- Maintain accurate records - ensure rental systems, customer information and fleet records are updated and maintained.
What you'll need:
- Rental coordination experience - previous experience in a rental coordination, administration or customer support role would be highly advantageous, ideally within a dry hire or equipment rental workplace.
- Earthmoving or construction industry exposure - experience working with heavy equipment, construction,
mining or earthmoving industries will be highly regarded.
- Customer service excellence - a strong commitment to providing professional and responsive customer support.
- Administrative capability - excellent organisational skills with the ability to manage multiple priorities and deadlines.
- High attention to detail - accuracy in contract management, invoicing and record keeping.
- Communication skills - ability to build effective relationships with customers, suppliers and internal stakeholders.
- Problem-solving mindset - proactive approach to identifying issues and coordinating solutions.
- Systems proficiency - confidence using Microsoft Office applications and business management systems.
- Positive attitude - a team-focused approach with a willingness to learn and contribute to a high-performing environment.
