About the Opportunity
Our client is a rapidly growing facilities management business delivering a broad range of hard and soft services across commercial properties and facilities. With a strong presence across South East Queensland and continued national expansion, they are looking for a proactive and organized Facilities Coordinator to join their growing team.
This is an excellent opportunity for someone with experience in maintenance coordination, facilities management, project administration or contract administration who enjoys working in a fast-paced setting and wants to develop their career within a growing industry. You will play a key role in coordinating jobs from initial allocation through to completion, ensuring contractors are managed effectively, service levels are met, and clients receive clear and consistent communication.
About the Role
Working closely with the Operations Manager, sales team and Project Manager, you will oversee the day-to-day coordination of maintenance and facilities works across a national contractor network. This role requires strong organizational skills, attention to detail and the ability to manage competing priorities while maintaining compliance, service quality and commercial outcomes.
Key Responsibilities
- Receive, allocate and track incoming maintenance jobs, ensuring requests are actioned within required service levels.
- Coordinate contractors nationally, arranging site attendance, quotations and approved works.
- Maintain accurate job records, communications and documentation across internal and client systems.
- Request, track and follow up on quotations, ensuring pricing approvals and escalation procedures are followed.
- Schedule approved works promptly and confirm contractor attendance and job completion.
- Review job pricing, identify variations or commercial risks,
and escalate issues where required.
- Assist with quality assurance, audits, WHS inspections and operational reporting.
- Maintain robust relationships with clients, contractors and internal stakeholders, providing timely updates and resolving issues proactively.
Skills & Experience
To be successful in this role, you will bring:
- 1–3 years' experience in facilities management, maintenance coordination, service coordination or contract administration.
- Strong organizational skills and the ability to manage multiple jobs and competing deadlines.
- Excellent communication and customer service skills, with confidence dealing with contractors and clients.
- Experience using maintenance management systems, work orders or job management software.
- Strong attention to detail and the ability to maintain accurate records and documentation.
