About the Role
The Operational Process Analyst will be responsible for analysing operational workflows, administrative procedures, process documentation and reporting practices across key organisational functions.
This role is suited to someone with strong experience in process review, procedure documentation, operational improvement, data-informed reporting and digital process support. The successful candidate will work closely with operational, academic, student support and compliance teams to improve how processes are documented, implemented, reviewed and communicated across the organisation.
The role reports to the Director and will support management by preparing clear, practical and easy-to-understand reports on process gaps, workflow improvements and implementation outcomes.
Key Responsibilities
· Analyse and review operational workflows, administrative procedures and process documentation across domestic, funded delivery and CRICOS operations.
· Undertake operational process reviews of existing and proposed methods, procedures and workflow practices.
· Review and document workflow charts, standard operating procedures, operational manuals, procedural guides and process documentation.
· Identify operational inefficiencies, process gaps, duplication and workflow improvement opportunities.
· Prepare practical recommendations to improve operational methods, resource use, process consistency and organisational effectiveness.
· Review and support process improvements to ensure domestic, international and funded training operations are integrated and function consistently across student administration, reporting and training delivery support areas.
· Assist with the implementation of approved process improvements, revised procedures and operational guidance material.
· Support the development and maintenance of operational onboarding and procedural guidance documentation.
· Use operational data, reporting outputs and digital tools to prepare clear, management-ready reports on process gaps, workflow improvements and implementation outcomes.
· Liaise with operational, academic, student support and compliance personnel regarding process improvement initiatives.
· Review operating procedures and identify departures from approved systems, procedures and standards.
· Prepare reports and documentation relating to workflow analysis, process review, implementation progress and continuous improvement activities.
Skills & Experience
The successful candidate will be expected to demonstrate:
· Bachelor degree or higher qualification, together with relevant experience in organisational process analysis, workflow review, procedures analysis, or operational improvement. Applicants with substantial equivalent experience in a comparable role will also be considered.
· Demonstrated experience analysing organisational methods, mapping administrative systems, reviewing operational workflows,
or improving business procedures within an education provider, corporate training, placement, regulated service-delivery, or comparable operational environment.
· Demonstrated capability in using digital tools, reporting outputs and data-informed insights to identify process gaps, support workflow improvement and prepare clear management-facing reports.
· Proven experience designing or improving KPI reports, dashboards, workflow trackers, process-monitoring tools or operational reporting mechanisms to support improved turnaround times, accountability and management oversight.
· Solid experience mapping multi-layered workflows and preparing standard operating procedures, operational manuals, procedural guides, process maps or related operational documentation.
· Strong written communication skills, including the ability to present process improvement recommendations to management in a clear, practical and easy-to-understand format requiring minimal further explanation.
· Robust analytical, documentation, stakeholder engagement and problem-solving skills.
· Ability to work across multiple operational functions within a regulated or process-driven environment.
Highly regarded:
· A completed post-graduate qualification, executive program, professional certification or substantial applied training in digital transformation, workforce analytics, AI-enabled reporting, business analytics, organisational improvement or a related area.
· Experience using AI-enabled or automation-supported tools to improve reporting, workflow visibility, documentation quality or operational efficiency.
· Experience in the education and training sector, student administration, funded service delivery, corporate training, placement services or RTO operations.
