About the role

Every project has moving parts. The Project Coordinator holds them together. You'll sit between our clients and our building surveyors, so clients always know where they stand and surveyors have what they need to focus on their work. You build the file, the surveyor assesses and approves, and you send it out.

Key responsibilities
Keep the inbox in order: action correspondence, and save, name and file every document
Set up new projects and welcome new clients, including their client portal
Enter project data and build out each file, then draft building permits, amendments, Certificates of Final Inspection and Occupancy Permits for surveyor QA and send them to clients and council once approved.
Inspection bookings, processing credit card payments, phone calls both inbound & outbound from clients.
Work alongside our assistant building surveyor on inspection results and compliance certificates
Coordinate project flows from end to end.

About you
Experience in administration or coordination, ideally in building,

construction, council or skilled services
Warm, clear communication on the phone and in writing
Comfort across systems (PermAssist, Xero, Microsoft 365)
Building permit experience is well regarded, not required. We'll teach you
