About your new role
Responsible for supporting the day-to-day facilities operations of a large and complex healthcare facility in Melbourne's south-east.
This is a facilities management and coordination role, not a hands-on maintenance position.
The successful candidate will take ownership of daily operational requirements, coordinate contractors and maintenance activities, engage with key stakeholders, and ensure the facility remains protected, compliant and operational.
Working within an established facilities management team, you will be an important point of contact between the facilities team, contractors and site stakeholders.

Key responsibilities
Manage the day-to-day facilities operations of the site.
Coordinate planned and reactive maintenance activities and ensure works are completed within required timeframes.
Monitor work orders, priorities, outstanding tasks and maintenance backlogs through the facilities management system.
Coordinate and supervise specialist contractors attending site.
Ensure contractors comply with site induction, permit, safety and access requirements.
Maintain oversight of PPM completion, statutory maintenance and compliance activities.
Escalate critical infrastructure, compliance and operational risks appropriately.
Coordinate maintenance activities around operational requirements to minimise disruption.
Liaise closely with site management and key stakeholders regarding maintenance requirements and upcoming works.
Attend operational meetings and provide clear updates on outstanding works, risks and priorities.
Review contractor performance and follow up incomplete or unsatisfactory works.
Assist with quotations, minor works and project coordination.
Maintain accurate facilities records, documentation, permits and service reports.
Undertake regular facility inspections and identify defects, presentation issues and potential risks.
Support emergency response and escalation processes where required.
Maintain a strong focus on safety, compliance, customer service and facility presentation.
Provide regular reporting to the Facilities/Account Manager on performance, risks and outstanding actions.
Skills and experience we are looking for
Facilities management or similar operational experience
Strong contractor management skills
Good understanding of planned and reactive maintenance
Strong safety and compliance awareness
Excellent communication and stakeholder management skills
Confidence using work-order or facilities management systems
