Perth Children's Hospital Foundation exists to make a life-changing difference for the children of WA.
We're looking for a highly organised and proactive Executive Assistant to support our CEO and Board on a 12 month maximum-term parental leave contract.
You'll keep the executive office running smoothly, managing the CEO's diary and correspondence, coordinating meetings, and delivering high-quality secretariat support to the Board and its Committees.
As a professional first point of contact for internal and external stakeholders, you'll play a key part in the effectiveness of our leadership team.
Responsibilities:Executive support
Manage the CEO's diary, scheduling appointments and coordinating meetings
Prepare, format and proofread correspondence, emails and documents for the CEO's review
Act as a point of contact for internal and external stakeholders, responding to and directing enquiries as appropriate
Coordinate travel, expenses and other administrative arrangements for the CEO
Maintain accurate digital and hard copy filing systems and records
Ad-hoc responsibilities and projects as directed by the CEO
Board support
Work with the CEO and CFO/Company Secretary to prepare and distribute high quality, timely Board and Committee agendas, papers and packs
Coordinate and attend Board and Committee meetings, recording minutes and preparing them for review and approval
Maintain a register of action items and follow-ups
Manage the Board portal so all information, correspondence and schedules are accurate and up to date
What you'll bring:
Proven experience as an Executive Assistant or in a similar senior administrative role, ideally within the not-for-profit sector
Experience providing Board or Committee secretariat support, including minute taking
Strong organisational skills, with the ability to prioritise and manage multiple deadlines
Excellent written communication skills and a sharp eye for detail
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with Board portal software is an advantage
A high level of discretion and the ability to handle confidential information
A proactive, collaborative approach and the confidence to work independently
