THE OPPORTUNITY

We are seeking a skilled Quality & Document Control Officer with a minimum of five years’ experience managing documentation within an Integrated Management System (IMS) or a similar environment.

This role is responsible for coordinating the control, maintenance, and distribution of management system and organisational documentation, ensuring records remain accurate, current, accessible, and compliant with applicable requirements. Working collaboratively across the business, the successful candidate will support document governance activities, improve document management processes, maintain efficient workflows, and provide essential support to internal stakeholders.

NOTE: As a condition of this role, you must be able to obtain (and hold) Baseline Defence security clearance, which requires Australian Citizenship. A National Police Check will also be undertaken.

WHAT YOU WILL BRING

The Quality & Document Control Officer will be able to:

- Maintain and enhance document control systems, registers, and numbering structures to ensure secure document management, version control, and accurate record keeping. Preventing duplication, loss and version inconsistencies and ensuring compliance and effective support of organisational operations.
- Provide user training and support, collaborating with stakeholders to ensure consistent and effective document management practices.
- Maintain document tracking records, monitor document status and approvals, and follow up with stakeholders to ensure timely completion and accurate document control.
- Act as the central point of contact for document-related inquiries and coordinate with various departments to ensure document integrity
- Ensure documents meet compliance requirements and quality standards through regular reviews, audits, document preparation, and coordination of approvals across the business.

Required Qualifications & Experience:

- 5+ years’ experience in document control or a similar role.
- Excellent attention to detail, accuracy and organisational skills
- Strong commitment to accuracy, integrity, and compliance
- Strong organisational and time management skills
- Strong understanding of document control standards and best practices
- Spots inconsistencies quickly
- Maintains clean audit trails
- Demonstrated ability to write clear procedures and work instructions




- Strong interpersonal skills with the ability to build collaborative relationships
- Ability to manage across various departments internally and externally
- Effective communication and coordination abilities.
- Good understanding of ISO9001
- Proficiency in MS Office 365, SharePoint and basic reporting tools.

Certifications (Preferred but Not Mandatory)

- Internal or Lead Auditor Training
- ISO 9001 Quality Management System training
- Continuous Improvement (Lean and Six Sigma)
