Medical Receptionist – Psychology Practice (2 Part-Time Jobs, 1 in School Hours)

Many of the people who contact The Mind Body Practice are asking for psychological support for the first time. Our reception team makes that first contact calm, kind and easy, and keeps a busy practice running smoothly behind the scenes.

About us

The Mind Body Practice is a psychology and allied health group practice in Bella Vista, in Sydney’s Hills District. We have a team of 15 to 20 psychologists and allied health clinicians, and we work with children, adolescents, adults and families. The practice runs on clear systems (Halaxy and Microsoft 365), so every task has a written procedure and a checklist.

The positions

We are recruiting two permanent part-time receptionists to cover the front desk from Monday to Thursday, 9:30 am to 8:00 pm, and Friday, 9:30 am to 6:00 pm. There is no weekend work. We are flexible about how the hours are shared:

School-hours position (25 hours a week):

Monday to Friday, 9:30 am to 2:30 pm. Opens the practice each day and finishes in time for school pickup.

Afternoon and evening position (about 25 hours a week):

Monday to Thursday, 2:15 pm to 8:00 pm, and Friday, 2:15 pm to 6:00 pm. Closes the practice each day.

Longer days: if you would prefer to work fewer, longer days (for example 9:30 am to 8:00 pm), tell us which days suit you.

Once the two positions are filled, each person’s days and hours are fixed in writing. Start date: as soon as possible.

What you will do

Welcome patients and families, and answer phone, email and online enquiries warmly and professionally

Book and confirm appointments, and help patients leave with their next appointments booked





Offer cancelled appointments to people on the waitlist

Take payments and process Medicare, private health and other funded claims

Discuss unpaid accounts with patients privately and kindly, following the practice’s procedures

Keep patient records accurate and confidential

Open or close the practice securely, depending on your hours

How we work

Our reception team is at the heart of the practice. Every patient’s experience starts at the front desk, and our clinicians rely on it every day. You will be fully trained and supported by the Director and a friendly team, and once you are settled, we trust you to run the desk your way within our procedures. We value your ideas too: if you can see a better way to do something at the front desk, we want to hear it. The practice is growing, with new clinicians joining and ongoing investment in our systems and our people.

About you

Warm and qualified, and someone who treats confidential information with great care

Calm and kind when the desk is busy or a conversation is difficult

Careful with detail and proud of getting things right

Able to judge what needs a clinician straight away, what can wait, and when to ask for help

Happy to suggest improvements when you notice them

You will also need at least one year’s reception experience, ideally in a medical,



psychology or allied health setting. Experience with Halaxy or similar software (Cliniko, Power Diary, Zanda, Best Practice), Medicare and private health claiming, or billing NDIS plan managers, workers compensation, CTP or DVA is an advantage.

$27 - $35 per hour plus superannuation, depending on experience
