About the role
We are seeking a proactive and customer-focused Administrative Officer to join our Community Diversity and Inclusion team on a full-time, 12-month contract.
Reporting to the Divisional Head Community Diversity and Inclusion, you will provide high-quality administrative support across the Community Diversity and Inclusion Division and broader Community Development Department. This role plays an important part in ensuring the smooth day-to-day operation of programs, projects, meetings and community initiatives.
Working closely with internal stakeholders, community organisations and members of the public, you will provide professional administrative support, coordinate a range of activities and contribute to positive customer and community outcomes.
This 12-month opportunity is ideal for an organised and adaptable professional looking to further develop their administration experience while supporting programs and services that make a positive difference in the community.
Your key responsibilities will include
- Providing day-to-day administrative support, including correspondence, records management and documentation.
- Coordinating and supporting meetings, workshops, community activities and events.
- Preparing agendas, minutes and meeting documentation.
- Assisting with newsletters, communications, promotional materials and website content.
- Processing invoices, purchase orders and other financial administration tasks.
- Maintaining accurate records, databases, registers and filing systems.
- Coordinating facilities, equipment, catering and logistical arrangements for meetings and events.
- Providing professional customer service to internal and external stakeholders.
- Supporting administration across the broader Community Development Department as required.
About you
You are an organised and approachable administration professional who enjoys supporting teams and delivering excellent customer service.
You take pride in your attention to detail, can manage competing priorities and are comfortable working both independently and collaboratively. You enjoy building positive relationships with a wide range of people and contributing to a team focused on delivering quality community outcomes.
You will also have
- Previous experience in an administrative support role.
- Strong written and verbal communication skills.
- Excellent organisational skills and the ability to manage competing priorities.
- High attention to detail and accuracy.
- A proactive approach and the ability to work autonomously.
- Experience providing high-quality customer service to diverse stakeholders.
- The ability to maintain confidentiality and handle sensitive information appropriately.
- Confidence using Microsoft Office and administrative systems.
- Experience using Pathway, Objective or similar corporate systems. (Desirable)
- Formal minute-taking experience. (Desirable)
- Previous local government experience. (Desirable)
- Experience supporting people from diverse backgrounds, including people living with disability. (Desirable)
