Medford Australia Pty Ltd is currently seeking a skilled Office Manager to join their team in Sans Souci in a full time role.
The Office Manager is responsible for organising and controlling the administrative functions and operational resources of the business. The position coordinates office administration, personnel, client services, records, accounts, procurement, compliance and workforce scheduling to support the effective and efficient delivery of the business's services.
The position will be responsible for the following key functions:
- Planning, coordinating and overseeing the day-to-day administrative and office functions of the business, including establishing priorities and ensuring administrative services are delivered efficiently.
- Allocating personnel, equipment, supplies and other resources to support the effective operation of the business and its service activities.
- Coordinating and scheduling cleaning and grounds maintenance teams across the business's service areas, including allocating personnel and resources according to operational requirements.
- Assigning work schedules and monitoring the performance and completion of activities to ensure services are delivered efficiently and in accordance with client and organisational requirements.
- Managing client enquiries, service requests,
complaints and feedback through systems including Formitize, Podium and Gmail, and coordinating appropriate follow-up and resolution.
- Maintaining accurate client, employee, operational and administrative records and ensuring relevant documentation and information remain current.
- Processing invoices, purchase orders and other administrative financial records, and liaising with the accounts team regarding financial and administrative matters through Xero and Dext.
- Coordinating the procurement and maintenance of supplies, equipment and other resources required for business operations, including liaising with suppliers and subcontractors.
- Maintaining employee records, onboarding documentation and personnel compliance registers through Employment Hero.
- Supporting personnel activities including recruitment, reviewing applications, coordinating interviews, arranging trial shifts and facilitating employee onboarding.
- Maintaining workplace health and safety documentation and compliance registers and ensuring site-specific compliance requirements are appropriately recorded and maintained.
- Monitoring administrative and operational performance, identifying matters requiring attention and reporting relevant issues to the Business Manager.
- Coordinating with employees, contractors, suppliers, clients and management to facilitate the effective delivery of administrative and operational functions.
- Supporting the implementation and maintenance of administrative procedures, systems and processes to improve the efficiency and consistency of the business's office and operational functions.
- Ensuring administrative activities and business processes are undertaken in accordance with relevant organisational policies, procedures and applicable legislative and regulatory requirements.
Applicants must have:
- An AQF Associate Degree, Advanced Diploma, or Diploma in Business Administration, Leadership and Management, or a related field.
- At least 1-3 years of proven experience in a similar role as an Office Manager or Senior Administrator may be considered in place of formal qualifications.
- Strong understanding of occupational health and safety regulations.
- High level of professionalism and the ability to handle confidential information with discretion.
- Proficiency in office management software and MS Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent organisational, time-management, and problem-solving skills.
- Robust interpersonal and communication abilities, with the capacity to liaise effectively at all levels.
- Demonstrated experience in supervising staff and managing office procedures.
A salary of $80,000 will be offered to the successful candidate.
