Full-Time Office Manager
Location: Shop 6, 172–176 Parramatta Road, Homebush NSW 2140
Employment type: Full-time, ongoing
Salary: $80,000 – $85,000 per annum, commensurate with work experience

AGA Cleaning and Maintenance Services Pty Ltd is an Australian-owned company established in 2016 and based in Homebush, New South Wales. We provide integrated facilities services — cleaning, carpet cleaning, handyman services, gardening, building management, sanitary services and rubbish removal — making us a one-stop shop for all facilities services.
Key Responsibilities
- Plan, organise, direct and coordinate the day-to-day administrative operations of the Homebush office, ensuring efficient and consistent service delivery to all clients and sites across Sydney, Wollongong, Gosford and Northern New South Wales;
- Coordinate the scheduling and delivery of the company’s integrated services — cleaning, carpet cleaning, handyman, gardening, building management, sanitary and rubbish removal services — for commercial, retail and strata clients;
- Prepare, review and oversee contract drafts, including client service agreements, subcontract agreements with head contractors, quotations and tender responses, and manage contract renewals, variations and pricing reviews;
- Monitor compliance with the scope, service standards and reporting requirements of each contract and subcontract, and maintain an up-to-date register of all current agreements;
- Form and organise casual and temporary staff teams for each contract and site, allocate shifts, and coordinate rosters to ensure adequate coverage for regular contracts, one-off jobs and urgent maintenance requests;
- Monitor the hours of work of casual, temporary, part-time and full time staff through timesheets and site records, and ensure that hours worked comply with the Cleaning Services Award 2020 and with any work conditions that apply to individual staff members;
- Liaise with accounting staff to manage end-to-end payroll processing, ensuring accurate and timely payment of wages, casual loadings, penalty rates,
superannuation contributions and deductions in full compliance with the Fair Work Act 2009 and the Cleaning Services Award 2020;
- Maintain comprehensive and accurate records for all financial, employment and operational documentation, including contracts, payroll records, staff agreements, timesheets, right-to-work checks, superannuation schedules and tax obligations;
- Oversee accounts payable and receivable, including invoicing clients and head contractors, processing supplier invoices for cleaning chemicals, equipment and consumables, reconciling accounts and preparing financial summaries for the Director;

Key Responsibilities
- Assist the accounts officer in the preparation of monthly and quarterly financial reports, budget forecasts and cash flow statements to support the financial management and strategic planning of the business;
- Liaise with the company’s external accountants, bookkeepers, banking institutions, insurers and government authorities, including the ATO and the Fair Work Ombudsman, to ensure all financial and compliance obligations are met;
- Act as the main point of contact for clients and head contractors, responding to enquiries, managing feedback and complaints, and coordinating quality inspections with site supervisors;
- Coordinate human resource functions, including recruitment, onboarding, induction and training records, police checks, right-to-work verification, leave management and performance monitoring;
- Prepare and manage operational budgets, monitor expenditure on labour, supplies and equipment,
track variances and report on financial performance to the Director;
- Ensure ongoing compliance with work health and safety legislation, including safe work procedures, chemical safety data sheets, incident reporting and insurance requirements for staff working on client premises;
- Manage office facilities, equipment, vehicles, supplies and resources to ensure a well-functioning and professional working environment.
Skill & Experience
Essential Skills and Requirements
- A minimum of two to three years of demonstrated experience in an office management or administrative leadership role;
- A relevant qualification in Business, Management or a related discipline – an Australian qualification is highly regarded;
- Proven ability to plan, organise and manage administrative operations for a business servicing multiple clients and locations simultaneously;
- Strong leadership and interpersonal skills, with demonstrated experience in supervising and coordinating staff;
- Sound knowledge of workplace legislation, including the Fair Work Act 2009, the National Employment Standards, the Cleaning Services Award 2020 and work health and safety obligations;
- High-level written and verbal communication skills, with the ability to liaise professionally with staff, clients, suppliers, contractors and external stakeholders;
- Proficiency in Microsoft Office Suite and business management or scheduling software, with strong attention to detail and record-keeping accuracy;
- Demonstrated ability to manage competing priorities, meet deadlines and maintain organisational standards in a fast-paced service environment;
- Full-time work rights in Australia.
Advantageous
- Experience in preparing, negotiating and overseeing contract drafts, including service agreements, subcontract agreements and tender documentation;
- Experience in forming and managing casual staff teams, including monitoring their hours of work and processing their wage payments;
- Knowledge of right-to-work checks and employee work entitlements;
- Experience in a similar role with a cleaning and maintenance company is highly desirable.
