As our international Pilates education business continues to grow, we are looking for an experienced and motivated Student Experience Coordinator to help us establish and lead a responsive, consistent and high-performing Student Experience function.

About the opportunity
Reporting directly to the General Manager, the Student Experience Coordinator will take operational ownership of our primary student and general enquiry channels, ensuring students, prospective students, graduates and other community members receive timely, accurate and professional support.
You will be responsible for coordinating enquiries across email, social media messaging and other communication channels, while developing the systems, processes and service standards required to support our international operations.
You will also provide day-to-day leadership to our Philippines-based Student Experience Officer and help develop our broader Student Experience team as the organisation grows.
This is a hands-on coordination and leadership role, combining direct student support with team supervision, service improvement and operational development.
We are looking for someone who can build a strong service function while remaining actively involved in delivering exceptional support.
What you'll be responsible for
Student Experience & Enquiry Management
- Oversee student services and general enquiry channels, including email and social media messaging.
- Ensure students and customers receive accurate, timely and personalised responses.
- Coordinate enquiries relating to enrolments, course information, learning access, assessments, certification, workshops and general support.
- Take ownership of enquiries from initial contact through to resolution.
- Manage escalations and follow up with internal teams to ensure nothing is overlooked.
- Support appropriate handling of student complaints, sensitive matters and welfare concerns.
Team Coordination & Leadership
- Provide day-to-day supervision, coaching and support to Student Experience Officers.
- Coordinate workloads, service coverage and international handovers.
- Monitor response quality, productivity and service performance.
- Develop team knowledge, confidence and capability.
- Help establish a collaborative and accountable service culture.
Systems, Processes & Quality
- Establish and maintain a central Student Experience Knowledge Base.
- Develop clear communication templates, procedures and escalation pathways.
- Implement and monitor service standards across all communication channels.
- Support the improvement of shared inboxes, CRM systems and enquiry management processes.
- Review service quality and identify opportunities for improvement.
- Ensure student information and communication records are accurate and appropriately maintained.
Reporting & Continuous Improvement
- Monitor enquiry volumes, response times, resolution performance and recurring issues.
- Provide regular Student Experience reporting to the General Manager.
- Identify opportunities to improve student onboarding, communication and support.
- Work collaboratively with Education, Sales, Marketing, Operations, Finance and other teams to resolve issues.
- Recommend practical improvements that reduce avoidable enquiries and strengthen the overall student journey.

You enjoy developing people, creating structure and finding better ways of working.
To succeed in this role, you will bring:
- Demonstrated experience in student services, customer service, member services or a related service environment.
- Experience coordinating or supervising service delivery and supporting team performance.
- Exceptional written and verbal communication skills, including strong professional written English.
- Experience managing multiple communication channels and competing priorities.
- Confidence handling complaints, sensitive enquiries and complex service situations.
- Strong organisational skills, sound judgement and attention to detail.
- Experience developing service procedures, communication templates or knowledge resources.
- Confidence using digital systems, shared inboxes, CRM platforms or service management tools.
- The ability to work independently and collaboratively in a remote environment.
- A genuine commitment to delivering outstanding student experiences.
Highly regarded, but not essential:
- Experience in education, training or student administration.
- Experience in the fitness, Pilates, health or wellness industries.
- Experience supporting international students or global communities.
- Experience managing remote or offshore team members.
- Familiarity with ticketing systems, service reporting and quality assurance processes.
You do not need to be a Pilates instructor or hold a Pilates qualification. Your ability to lead an exceptional Student Experience function is what matters most.

This is a full-time, Australia-based position open to suitably qualified applicants residing in any Australian state or territory.
Although the role may appear under Brisbane QLD for SEEK advertising purposes, there is no requirement to reside in Brisbane or Queensland.
You will work collaboratively with our Australian and international teams, supporting Body Athletica's global Student Experience operations.
