Executive Assistant

Sydney, NSW | Full-Time | $40.16PH, + Super, Weekly Pay.

About the Role

We are seeking an experienced and highly organised Executive Assistant to provide comprehensive support to senior leadership within a dynamic and fast-paced business setting.

This is a pivotal role that requires exceptional organisational skills, sound judgment, and the ability to manage multiple priorities with professionalism and discretion. You will act as a trusted partner to executives, ensuring seamless day-to-day operations while contributing to broader business initiatives and projects.

Key Responsibilities

Executive & Administrative Support

- Provide high-level executive, administrative and secretarial support to senior leaders.
- Prepare, review and distribute professional correspondence, reports, presentations and business documentation.
- Conduct research and compile information to support business planning and decision-making.
- Maintain accurate records, reporting systems and documentation.

Diary, Travel & Event Coordination

- Manage complex calendars, appointments and meeting schedules.
- Coordinate domestic and international travel arrangements, including flights, accommodation, itineraries and expense reconciliation.
- Organise meetings, conferences and events, managing all logistics and venue requirements.

Reporting & Business Support

- Prepare and reconcile executive expense reports.
- Compile, analyse and present statistical and operational reports.
- Assist with management reporting, project tracking and business updates.

Stakeholder & Communication Management

- Act as a key liaison between executives, employees, clients and external stakeholders.




- Manage incoming correspondence, phone calls, emails and visitor enquiries.
- Respond to routine enquiries and ensure information is directed appropriately.

Office & Team Coordination

- Support office operations, administrative processes and workspace coordination.
- Assist in the delivery of special projects and continuous improvement initiatives.
- Identify opportunities to enhance administrative systems, efficiencies and procedures.
- Provide guidance and support to administrative and clerical staff, including task delegation and onboarding assistance where required.

About You

To be successful in this role, you will bring:

- Minimum 7 years' experience in an Executive Assistant, Personal Assistant, Office Manager or senior administrative support position.
- Proven experience supporting senior executives in a complex business environment.
- Exceptional organisational skills with the ability to manage competing priorities and deadlines.
- Strong written and verbal communication skills.
- Advanced Microsoft Office skills, including Outlook, Word, Excel and PowerPoint.
- Experience preparing reports, presentations, correspondence and business documentation.
- Excellent attention to detail and problem-solving capabilities.
- Strong stakeholder management and relationship-building skills.




- The ability to handle confidential and sensitive information with the highest level of discretion.
- A proactive, adaptable and solutions-focused approach.
