The People and Prosperity Trainee provides administrative support to the People & Prosperity functions of Council. The role contributes to the delivery of human resources creating a positive employee experience by assisting with recruitment, onboarding, training, records management and workforce administration activities.

What does this Position do?
n

The role is designed to develop practical workplace skills and knowledge in human resources, administration and local government operations.
n
n
n
n
Assists with day-to-day administrative tasks that support People & Culture activities
n
n
Supports employee lifecycle processes, including recruitment, onboarding and training administration
n
n
Maintains employee records, systems and documentation under supervision
n
n
Provides administrative support to the People & Culture team and assists with the preparation of workforce information and reports
n
n
Develops knowledge and skills through workplace learning, mentoring and formal study
n
n
n
n
n
n
Key Responsibilities
n
n
Human Resources Administration
n
n
n
n
Assist with administrative tasks across the employee lifecycle
n
n
Prepare standard HR documents, letters and forms under guidance
n
n
Maintain employee records and HR systems accurately
n
n
Learn and follow records management, privacy and governance requirements
n
n
n
n
Recruitment & Onboarding Support
n
n
n
n
Assist with recruitment administration, including:
n
n
Posting job advertisements
n
n
Organising applications
n
n
Scheduling interviews
n
n
Help prepare onboarding materials, including:
n
n
Induction documentation
n
n
New starter information packs
n
n
Assist with collecting and monitoring pre-employment documentation and checks.
n
n
n
n
Training & Development Administration
n
n
n
n
Assist with organising training bookings and course registrations
n
n
Maintain training records and update compliance registers
n
n
Support the implementation of training and development activities
n
n
Assist with tracking attendance, certifications and mandatory training requirements
n
n
n
n
Financial & Procurement Administration
n
n
n
n
Assist with raising purchase orders and processing invoices.
n
n
Maintain records relating to training and HR expenditure.
n
n
Support budget administration activities and record keeping.
n
n
Employee Services & Coordination
n
n
Assist with coordinating employee resources, including:
n
n
Uniforms
n
n
ID cards and photographs
n
n
System access requests
n
n
Support employee recognition, milestone tracking and staff communications.
n
n
Assist with wellbeing and employee engagement initiatives.
n
n
n
n
n
n
Records & Compliance
n
n
n
n
Maintain employee records in accordance with Council requirements.
n
n
Assist with filing and record keeping in line with:
n
n
State Records Act requirements
n
n
Council policies and procedures
n
n
Support compliance activities, audits and reporting requirements.
n
n
n
n
n
n
Support to Leadership and Projects
n
n
n
n
Provide administrative support to the Supervisor People and Customer Experience and General Manager People & Prosperity.
n
n
n
n
n
n

Essential Qualifications, Experience, Knowledge & Skills
n
n
n
n
Completion of Year 12 or equivalent, or currently undertaking relevant studies (desirable).
n
n
Interest in Human Resources, Business Administration, Customer Service or a related field.
n
n
Willingness to learn and develop skills in Human Resources and workforce administration.
n
n
Positive attention to detail and ability to maintain accurate records and information.
n
n
High computer skills, including Microsoft Office applications.
n
n
Ability to follow instructions, policies and procedures.
n
n
Ability to maintain confidentiality and handle sensitive information appropriately.
n
n
Effective verbal and written communication skills.
n
n
Good organisational skills and the ability to manage tasks and deadlines with support.
n
n

Experience in administration
