About the Role
Greek Orthodox Community Home for the Aged (GOCHA), part of the Greek Orthodox Community of NSW Ltd, is seeking a qualified, caring and highly organised Reception & Administration Officer to join our residential aged care team.
This is an important front-of-house role providing a welcoming, respectful and culturally safe first point of contact for our residents, their families and representatives, visitors, staff, contractors and service providers.
Working closely with the Facility Manager and wider team, you will provide high-quality reception and administrative support while maintaining confidentiality, accuracy and professional standards.
Key Responsibilities
Your responsibilities will include:
Providing a warm, professional and welcoming reception service to residents, families, visitors and service providers.
Operating the switchboard, managing telephone enquiries and accurately recording and directing messages.
Managing visitor, contractor and volunteer sign-in, identification and access requirements.
Responding to enquiries and receiving feedback and complaints professionally and respectfully.
Maintaining accurate and confidential resident, staff and administrative records.
Supporting admissions, transfers, hospital leave and return processes.
Preparing and maintaining service agreements, documentation, fee and pricing information.
Providing administration support for resident fees, invoices, purchase orders, petty cash and resident personal funds in accordance with approved procedures.
Maintaining workforce compliance records, including screening, immunisation, registrations and mandatory training requirements.
Assisting with rostering, timesheets and staff onboarding administration.
Preparing correspondence, reports, letters,
minutes, newsletters and other administrative docments.
Maintaining document control, filing, archiving and records management systems.
Supporting emergency communication, after-hours calls and business continuity procedures.
Following all privacy, confidentiality, workplace health and safety and aged care requirements.
About You
We are looking for someone who is:
Professional, friendly and approachable.
Highly organised with excellent attention to detail.
An excellent communicator with strong written and verbal communication skills.
Able to work confidently in a busy reception and administration environment.
Experienced in handling confidential information and maintaining accurate records.
Comfortable using Microsoft Office, email, spreadsheets and electronic record systems.
Able to manage competing priorities, interruptions and deadlines.
Professional and respectful when dealing with older people, families and representatives.
Able to recognise matters outside the scope of the role and recognise them appropriately.
Previous experience in reception, administration, customer service or office support.
Strong communication and interpersonal skills.
Demonstrated ability to maintain confidentiality and follow privacy and information-release procedures.
Current and satisfactory Aged Care Worker Screening Clearance.
Evidence of immunisation in accordance with GOCHA policy.
Ability to meet all applicable employment and aged care compliance requirements.
The following would be highly regarded:
Previous experience in residential aged care, health, disability or community services.
Certificate III or IV in Business, Administration, Accounts Administration or equivalent experience.
Experience with resident admissions, agreements, fees or accommodation payment administration.
Greek language skills and experience working with culturally and linguistically diverse communities.
